Role Responsibilities

Energy Infrastructure Partners LLC is currently seeking a Program Administration Specialist to support our mission by overseeing data collection, managing financial incentive processes, tracking and reporting, coordinating meetings, training sessions, special events, and facilitating special projects. In this capacity, you will play a crucial role in enhancing our energy efficiency initiatives by ensuring seamless administrative operations.

Key Objectives

Reporting to the Program Manager, the Program Administration Specialist will be instrumental in maintaining effective administrative processes that align with EIP's mission. Key objectives include:

  • Office Operations: Oversee the daily functions of the office, including inventory management, equipment maintenance, and facility oversight.
  • Scheduling and Meeting Coordination: Organize schedules, arrange meetings, and manage logistics for client, partner, staff, and other gatherings.
  • Meeting Facilitation: Schedule, coordinate, and prepare materials for meetings, document meeting minutes, and follow up on action items.
  • Data Oversight:
    • Maintain precise records of data related to program activities.
    • Manage financial incentive processes, ensuring timely and accurate disbursement in collaboration with accounting personnel.
    • Conduct data entry and quality control (QC) to guarantee data integrity.
    • Generate data files for reporting and analytical purposes.
  • Document Management: Organize and maintain essential documents, records, and files, ensuring they are easily accessible and systematically arranged.
  • Event Coordination: Plan and execute events, such as training sessions, workshops, and seminars, including logistics, content development, and attendee management.
  • Project Assistance: Provide administrative support for ongoing projects, including tracking progress, scheduling meetings, and preparing project-related documentation.
  • Communication Management: Handle phone inquiries, respond to general questions, and manage email correspondence.
  • Research Activities: Conduct research on various topics, compile information, and prepare reports or summaries.
  • Reporting: Prepare and present reports based on research findings.
Qualifications

Required:

  • Education: Bachelor's degree in a relevant field such as business administration, finance, or environmental studies.
  • Experience: 3+ years of experience in administrative roles, preferably in a program management context.
  • Communication Skills: Exceptional written and verbal communication skills, with the ability to articulate complex concepts clearly and concisely.
  • Organizational Skills: Strong organizational and project management abilities to efficiently plan and execute administrative tasks.
  • Technical Proficiency: Advanced skills in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Passion: A genuine commitment to sustainable practices, environmental justice, community engagement, utility customer participation, and collaboration with partners.

Preferred:

  • Industry Knowledge: Familiarity with the utility sector, commercial and industrial clients, energy management programs, and/or partner dynamics.
  • Event Planning Experience: Proven experience in organizing and executing events, workshops, or educational programs.
  • CRM Familiarity: Knowledge of CRM software, such as Salesforce, HubSpot, or similar platforms, is advantageous.
