Midwest Petroleum Equipment LLC is looking to enhance its team by hiring a meticulous and dependable Administrative Support Specialist for our Construction and Sales departments. This role will serve as the primary liaison for all team members, addressing their certification and operational efficiency requirements.

Key Responsibilities:

  • Manage incoming calls, relay messages, and direct inquiries appropriately.
  • Ensure that sales personnel submit weekly reports, leads, and proposals.
  • Collaborate with the estimating team to input successful bids into the CRM for subsequent actions.
  • Oversee the creation and management of monthly performance reports for the construction and sales teams.
  • Review and process receipts, expense claims, and reimbursements for team members.
  • Develop and maintain a comprehensive contact database for the sales team, including new customer information.
  • Conduct research on current and potential clients for the sales team.
  • Monitor certifications, DOT physicals, and licensing records for construction staff.
  • Ensure the availability of personal protective equipment (PPE) for construction teams.
  • Verify time and labor entries for accurate job costing and payroll processing.
  • Coordinate maintenance and service schedules for fleet vehicles.
  • Acquire necessary permits for various projects.
  • Prepare and submit compliance documentation for projects.
  • Assist with special projects as needed.
  • Act as the primary contact for all administrative tasks related to construction and sales.
  • Perform additional duties as assigned by management.

Qualifications:

  • Proficient in Microsoft Office Suite.
  • Ability to thrive in a small office setting.
  • Exceptional attention to detail.
  • Strong integrity and professional ethics.
  • Excellent communication and interpersonal skills.
  • Capability to multitask, prioritize, and meet deadlines.
  • Valid driver's license required.

Education and Experience:

  • High School diploma is required; a college degree is preferred.
  • Three years of experience in a professional office environment or related field is preferred.
  • Experience in construction or service contracting is advantageous but not mandatory.

Work Schedule:

  • This is a full-time role, operating Monday through Friday.
