About the Role

We are seeking a highly skilled Executive Secretary to join our team at Aram Meem. This role will provide high-level support to the legal council in a well-organized and timely manner, with a focus on providing exceptional administrative services.

The ideal candidate will have excellent secretarial and organizational skills, with the ability to multitask and prioritize daily workload. They will be responsible for managing all administrative tasks, including producing and organizing dual/bilingual word documents, implementing and maintaining procedures/administrative systems, and managing databases and filing systems.

This is an excellent opportunity for a motivated individual to work on a one-to-one basis with the legal counsel, providing high-level support and contributing to the success of the organization. The salary for this role is approximately $45,000 - $60,000 per year, depending on experience.

  • Duties and Responsibilities:
  • Provide high-level support to the legal council in a well-organized and timely manner.
  • Manage all administrative tasks, including producing and organizing dual/bilingual word documents.
  • Implement and maintain procedures/administrative systems, including devising and maintaining office systems, data management and filing.
  • Manage databases and filing systems, including physical fillings/archiving.
  • Initiate Contract Life-cycle Management system project.
  • Organize and maintain documents in a paper and electronic filing systems.
  • Produce documents, briefing papers, reports and presentations.
  • Carry out background research and present findings.
  • Organize and attend meetings and ensure the manager is well prepared for meetings.
  • Take dictation and minutes.
  • Typing, compiling and preparing reports, presentations and correspondence.
  • Collate and file expenses.
  • Screen phone calls, inquiries and requests and handle them appropriately.
  • Deal with incoming email, faxes and post.
  • Source office supplies.
  • Organize, manage and maintain diaries, meetings and appointments.
  • Monitor deadlines and juggle calendars.
  • Various ad hoc requests.
