POSITION DETAILS

  • This is a full-time position with a standard schedule of 40 hours per week, Monday through Friday, from 8:00 AM to 4:30 PM, with potential for remote work.
  • The LAU addresses the agency's legal requirements, including managing records requests, overseeing hearings, and handling agency regulations, legislative proposals, ethics issues, contracts, and litigation.

JOB RESPONSIBILITIES

This role involves performing advanced office administration and secretarial support for a major program, including:

  • Document Preparation: Utilize electronic devices to format and produce a variety of documents, ensuring accuracy and adherence to proper grammar and punctuation.
  • File Management: Develop and maintain organized filing systems, including confidential files, and ensure all reference materials are current.
  • Correspondence: Draft complex letters and memoranda for managerial review.
  • Report Generation: Compile and analyze information from various sources to create detailed reports.
  • Interpersonal Communication: Act on behalf of management by interpreting policies and procedures, and assist in decision-making processes.
  • Meeting Coordination: Organize meetings, prepare materials, and document minutes.
  • Office Management: Oversee office operations, including budget preparation and staff training.

QUALIFICATIONS

  • Extensive knowledge of office management and administrative procedures.
  • Strong communication skills, both written and verbal.
  • Proficiency in office software and equipment.
  • Ability to manage multiple priorities effectively.

MINIMUM EXPERIENCE

Four years of experience in office support or secretarial roles, with at least one year in a supervisory capacity.

PREFERRED SKILLS

  • Experience with Microsoft Office Suite.
  • Strong customer service skills across various communication channels.
  • Familiarity with the Freedom of Information Act.
  • Experience with case management software.
