Position Overview

The Medical Records Coordinator plays a crucial role in the management of patient documentation within the healthcare facility. This position is responsible for the meticulous preparation, organization, and analysis of medical records, ensuring compliance with established protocols and regulations.

Key Responsibilities:
  • Facilitate the copying, sorting, and distribution of medical dictations to relevant healthcare professionals as required.
  • Ensure the completeness and accuracy of medical records by organizing and assembling all necessary documentation.
  • Maintain an orderly filing system for completed medical charts and related documents.
  • Address information requests from patients, healthcare providers, and administrative staff promptly.
  • Return incomplete charts to nursing staff for necessary corrections.
  • Deliver charts requiring completion to designated areas within the facility.
  • Disassemble, scan, and flag deficient charts, verifying their completeness before archiving.
  • Review operative reports to confirm that all dictated findings are accurately recorded.
  • Manage the disassembly of medical charts for discharged patients, ensuring all records are received by the appropriate department.
  • Prepare and distribute routine operative notes to specified physicians following surgical procedures.
  • Verify the completeness of charts post-signature by the attending surgeon or anesthesiologist.
  • Collect charts needing signatures for upcoming surgical procedures and ensure timely completion.
  • Confirm receipt of all pathology reports from designated laboratories.
  • Match previously dictated reports with corresponding charts as necessary.
  • Handle release of information requests in accordance with applicable policies and regulations.
  • Perform additional duties as assigned by the HIM Director to support departmental operations.
  • Adhere to facility standards of conduct and complete all required training within specified timelines.
  • Engage in cross-training initiatives as needed.
  • Report any potential issues related to job functions or equipment to the HIM Director immediately.
Physical Requirements:

The physical demands of this role include:

  • Regularly sitting, conversing, and listening; utilizing hands for various tasks; and reaching with arms.
  • Ability to lift and carry over 20 pounds consistently and push/pull over 25 pounds regularly.
  • Standing and walking for a minimum of two hours each day.
