Position Overview:
HOW A SENIOR ADMINISTRATIVE OFFICER WILL CONTRIBUTE
- Act as the main point of contact and action officer for the office, providing comprehensive administrative support to senior executives through a variety of complex and routine tasks, including follow-up tracking and coordination through approval processes.
- Serve as a liaison with senior executive staff across various agencies, ensuring alignment of attendance and briefing materials.
- Plan, organize, and execute meetings, conferences, and off-site events; may participate as a recorder or note-taker, and may present administrative support-related information.
- Manage travel arrangements, coordinate itineraries, and support travel-related needs, including passport and visa requirements.
- Oversee daily administrative operations for the component.
- Monitor and coordinate task completion among other contractors within the component.
- Develop and maintain Standard Operating Procedures for the component.
- Draft and edit correspondence, briefings, and presentations for senior executive review.
- Demonstrate the ability to manage multiple critical deadlines simultaneously.
- Conduct quality checks on all materials prepared for senior executive review and/or signature.
- Collaborate with component staff to create read-ahead materials and briefing books to prepare senior executives for various engagements.
- Research and retrieve data from databases as needed.
- Review incoming correspondence, summarize key issues, and ensure timely responses.
- Arrange all travel logistics, both domestic and international, and prepare expense documentation related to executive travel.
- Gather budget requirements and monitor spending plans associated with projects or functions.
- Provide backup support within component divisions as necessary.
- Active Top Secret/SCI with Polygraph clearance is required.
- Bachelor's degree in Business Administration or related field.
- Five (5) years of senior administrative experience supporting Deputy Directors, CEOs, or SES-level executives.
- Exceptional communication skills with proven experience in drafting and editing correspondence and briefings for senior executives.
- Ability to interpret and apply established policies and procedures to unique situations.
- Advanced proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Publisher, Outlook).
- Strong knowledge of SharePoint applications.
- In-depth understanding of administrative processes within the Intelligence Community.
- Ability to maintain confidentiality and exercise discretion.
- Basic knowledge of Project Management principles to effectively plan and coordinate administrative support.
- Proven ability to cultivate a professional network across organizational boundaries.
- Ten (10) years of progressively responsible administrative experience working directly for high-level management.
