Ambulatory Infusion Center Operations Coordinator

We are seeking a highly skilled and detail-oriented Practice Assistant II to join our team at Brigham and Women's Hospital's Ambulatory Infusion Center. As a key member of our operations team, you will play a critical role in ensuring the efficient daily operation of our center, providing exceptional patient care, and supporting the growth and development of our practice.
Key Responsibilities- Manage patient scheduling, referrals, and specialty pharmacy medication coordination with precision and attention to detail.
- Collaborate with the Practice Manager and Practice Coordinator to implement process improvements and new initiatives, driving a high level of customer service and a positive work environment.
- Develop and maintain effective relationships with referring physicians, peers, and staff to achieve service excellence for our patients.
- Ensure seamless patient registration, scheduling, and billing processes, including checking in and out patients, scheduling from the Referral Workque, and responding to voicemails.
- Partner with the Prior Authorization team to maintain patient insurance approvals for scheduled appointments.
- Support the Practice Manager and Practice Coordinator in developing and implementing process improvement initiatives and new projects.
- Demonstrate knowledge and promote administrative and employee policies, ensuring compliance with hospital, State, and Federal requirements.
- High School Diploma/GED required; bachelor's degree preferred.
- Clinical Operations and Scheduling experience preferred, ideally within Infusion or in Ambulatory Healthcare Practice Environment.
- Strong organizational, coordination, and judgment skills, with the ability to prioritize effectively and manage multiple tasks.
- Excellent communication and interpersonal skills, with the ability to handle sensitive information and situations with poise and professionalism.
- Ability to work in a fast-paced, growing environment, with flexibility and a commitment to service excellence.
