Job Summary

The Practice Assistant II for Infusion Services plays a vital role in ensuring the efficient daily operation of the Ambulatory Infusion Center at Brigham and Women's Hospital. Reporting to the Practice Manager, this individual will maintain patient scheduling, referrals, and specialty pharmacy medication coordination. The Practice Assistant II will work closely with administrative staff, referring physicians, and peers to create a positive culture and work environment while achieving service excellence for our patients.

Key Responsibilities
  • Patient registration, scheduling, and billing processes for the department, including checking in patients, checking out patients, and scheduling patients from the Referral Workque.
  • Partnership with the Prior Authorization team to ensure maintenance of patient insurance approvals for scheduled appointments.
  • Collaboration with the Practice Manager and Practice Coordinator to lead initiatives that create a high level of customer service by working closely with all staff and providers to create the ideal patient experience and environment.
  • Meets and greets patients regularly, throughout the day, and ensures the Patient Information Area is properly maintained as a resource for patients.
  • Supports the Practice Manager and Practice Coordinator on development and implementation of process improvement initiatives and new projects.
  • Demonstrates knowledge and promotes administrative and employee policies.
Requirements
  • High School Diploma/GED required; bachelor's degree preferred.
  • Clinical Operations and Scheduling experience preferred, ideally within Infusion or in Ambulatory Healthcare Practice Environment.
  • Knowledge of practice operations and standards.
  • Understanding of procedures including filing, copying, scanning, printing, and faxing.
  • Highly proficient in all communication skills (phone, verbal, and written).
  • Commitment to service excellence, with the ability to demonstrate a consistently professional level of customer service with all patients, providers, and colleagues.
Working Conditions

The Practice Assistant II will work in a Hospital-based Ambulatory Practice, with normal patient environments where there are some exposures to communicable diseases, unpleasant odors, needle, and blood products.
