The Community Action Organization of Western New York, Inc. is seeking a highly skilled and experienced Executive Assistant to provide comprehensive support to the Executive Vice-President and Chief of Education. This is a critical role that requires exceptional organizational, communication, and interpersonal skills.
Key Responsibilities- Provide high-level administrative support, including managing calendars, coordinating travel arrangements, and preparing correspondence.
- Manage and maintain confidential and sensitive information, ensuring the highest level of discretion and professionalism.
- Coordinate and facilitate meetings, events, and other activities, ensuring seamless execution and follow-through.
- Develop and maintain effective relationships with internal and external stakeholders, including staff, community members, and partners.
- Assist with budgeting, financial management, and other administrative tasks as needed.
- Supervise and support Head Start/EHS program secretaries, providing guidance and training as required.
- Associate's degree or equivalent in Secretarial Science or Business, or equivalent experience.
- Minimum 2 years of progressively responsible secretarial experience, with a focus on executive support.
- Excellent communication, organizational, and interpersonal skills.
- Proficiency in MS Office, including Word, Excel, and PowerPoint.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong attention to detail and ability to prioritize tasks effectively.
- Bachelor's degree in Business Administration or related field.
- Experience working in a non-profit or community-based organization.
- Knowledge of Head Start/Early Head Start programs and policies.
- Ability to work in a fast-paced environment and adapt to changing priorities.
