Position Summary:

The Administrative Receptionist serves as the primary liaison for both external and internal inquiries, efficiently screening and prioritizing requests directed to executive staff. This role is essential in maintaining a professional presence during meetings by organizing agendas, documenting minutes, and distributing necessary materials for effective discussions. Additionally, the receptionist supports executives with various projects and serves as a valuable resource for administrative personnel.

Key Responsibilities:

  1. Deliver high-level secretarial and administrative assistance, ensuring the department operates smoothly and efficiently.
  2. Draft and format correspondence and reports as needed.
  3. Transcribe dictation and manage special projects utilizing spreadsheet and word processing software.
  4. Prepare and organize notebooks, manuals, and handouts for distribution.
  5. Provide executive-level administrative support, prioritizing tasks and managing office operations effectively.
  6. Coordinate meetings, appointments, and additional duties as assigned by management.
  7. Compose general correspondence with attention to detail.
  8. Maintain both general and confidential files and contracts with accuracy.
  9. Document minutes for both scheduled and impromptu meetings.
  10. Compile data related to various hospital activities and complete complex special projects as required.
  11. Assist visitors and handle telephone inquiries by directing them to the appropriate personnel.
  12. Enhance customer satisfaction by engaging with patients and their families as necessary.
  13. Act as a resource for administrative team members.
  14. Communicate effectively and clearly with all hospital staff.
  15. Exhibit flexibility and organizational skills in a dynamic environment.
  16. Maintain a professional demeanor and appearance at all times.
  17. Demonstrate the ability to prioritize, coordinate, and organize resources efficiently to achieve goals.

Qualifications:

Education/Certification:
High School Diploma or GED

Experience:
A minimum of three years of experience in a receptionist role is preferred.

Technical Skills:
Proficiency in computer usage and standard office software is required.

Communication Skills:
Strong written and verbal communication skills are essential.

Mathematical Skills:
Basic mathematical skills are necessary.

Cognitive Abilities:
Ability to prioritize and manage multiple tasks effectively.

Interpersonal Skills:
Excellent interpersonal skills are required for interactions with internal and external stakeholders.
