Position Title: Inventory Management Support Coordinator

Department: Inventory Management

Reporting To: Senior Director of Regional Operations

Position Summary:

The Inventory Management Support Coordinator plays a crucial role in providing administrative support related to inventory within clinics. This position is responsible for overseeing and educating on best practices and standard operating procedures for inventory management in the designated area. The coordinator will also collaborate with the headquarters inventory team to facilitate inventory management tasks and act as the main point of contact between the HQ team and the assigned region.

Key Responsibilities:

  • Ensure that clinics are informed about best practices and standard operating procedures for inventory management.
  • Investigate and resolve all inventory discrepancy tickets.
  • Verify tracking numbers to confirm that purchased products have been delivered and properly checked in at clinics.
  • Manage backend inventory transfers between clinics.
  • Serve as the first point of contact for resolving clinic-related issues.
  • Maintain accurate records of all vendor invoices as shipments are received.
  • Identify and report any short or missing shipments to the purchasing team.
  • Input all assigned medical inventory purchases into the inventory management system.
  • Create shipping labels for transfers or orders as needed.
  • Conduct weekly follow-ups with clinics to review outstanding items on the dashboard.
  • Provide technical assistance for any issues related to Coupa ordering.
  • Assist with month-end inventory reconciliation and follow up on cycle counts.
  • Offer additional support to the buying and planning teams as required.

Required Qualifications:

  • Strong organizational skills with the ability to manage multiple priorities.
  • Knowledge of purchasing, inventory control, and accounting principles.
  • Proficient in computer applications.
  • Excellent communication and interpersonal skills are essential.
  • Ability to thrive in a fast-paced team environment with varying levels of ambiguity and independence.
  • Proficient in Microsoft Excel.
  • Familiarity with Coupa Procurement Software and NetSuite is advantageous.
  • Strong written and verbal communication abilities.
  • Attention to detail is critical.
  • Ability to adhere to both written and verbal policies and directives.
  • Focus on loss prevention and inventory control.

Compensation: $20-$25 per hour, full-time position.

Work Environment:
This role allows for remote work, with occasional requirements to be present in a clinic or office setting as necessary.
