Position Summary:
The Accounts Payable Coordinator is responsible for managing accounts payable functions, assisting in the oversight and control of financial and accounting systems. This role involves processing and recording all invoices, providing support for comprehensive financial and management reporting, and assisting with various office administration tasks.
Key Responsibilities:
- Exemplify and promote the Pacific Group Diamond Philosophy (Productivity, Quality, Excellence, and Teamwork) while fostering a collaborative environment.
- Handle full cycle accounts payable, including matching, vouchering, and general ledger coding.
- Examine all invoices for proper documentation and authorization prior to processing payments.
- Prioritize invoices based on cash discount opportunities and payment terms. Process check requests, match invoices to checks, secure necessary signatures, and distribute checks accordingly.
- Maintain 1099 records and ensure accuracy.
- Reconcile vendor statements and investigate discrepancies.
- Assist in month-end closing processes and generate monthly financial and management reports.
- Maintain thorough and accurate documentation in accordance with company policies and accepted accounting practices. Utilize accounting software (AS400, APC, Excel, and Word) to perform duties effectively.
- Generate and update accounting statements and reports, including coding and posting of receipts.
- Ensure timely preparation and submission of all necessary tax forms, registrations, and licenses.
- Oversee customer accounts, including accounts receivable write-offs and payment reversals.
- Develop automated spreadsheets for efficiency.
- Assist in maintaining current financial records.
- Foster and maintain vendor relationships.
- Organize and retain accounts receivable/accounts payable files for the required duration.
- Create Bills of Lading as needed.
- Assist in preparing periodic reports related to earnings, taxes, and deductions.
- Support other general office tasks as required.
- Perform additional duties as assigned.
Qualifications:
Required:
- High school diploma or GED equivalent.
- Two or more years of relevant experience.
Preferred:
- Bachelor's degree in Accounting.
- Proficient in MS Office Suite, particularly Word and Excel.
Compensation:
The salary for this position is $17.79 per hour.
