Overview:

This role is pivotal in overseeing the operations of medical practices, typically involving a team of over four healthcare providers, more than ten full-time employees, or multiple locations. The individual will be tasked with managing staff, preparing budgets for clinics, ensuring the accuracy of data, conducting financial assessments, addressing complex client service challenges, and fostering communication between providers and staff.

Key Responsibilities:


• Develops and executes goals, objectives, policies, and procedures for designated administrative functions.

• Aids in the formulation and execution of the annual operational strategy and budget.

• Recruits, trains, and supervises clinic personnel in line with established guidelines. Responsible for daily operations and work assignments across multiple practices, including training temporary staff.

• Assesses employee performance and recommends promotions, merit increases, and disciplinary actions as necessary. Participates in the hiring and termination processes in accordance with approved protocols.

• Addresses administrative challenges and ensures adherence to relevant regulations and standards.

• Collaborates with fiscal management and administrative teams to implement cost-effective practices across all operational areas, including bookkeeping, billing, insurance, fee schedules, credit/collections, procurement, data management, and spatial planning.

• Partners with the Regional Director and corporate Marketing Department to drive practice development initiatives.

• Guarantees the effective execution of job descriptions, personnel policies, and payroll procedures.

• Monitors and manages clinic expenditures to align with budgetary constraints, identifying opportunities for cost reduction.

• Acts as a liaison between the clinic and external organizations.

• Collaborates with staff and providers to ensure the delivery of high-quality patient care and services. Maintains effective communication with providers and staff; organizes monthly meetings to foster a positive work environment.

• Collects and reports monthly and annual data for financial, statistical, and planning purposes. Develops and implements strategies to enhance revenue for existing practices.

• Engages in professional development activities to stay informed about healthcare trends and practices.

• May be responsible for ensuring that all necessary licenses, certifications, and accreditations are obtained in accordance with policy.

• Adheres to the guidelines set forth by the organization regarding the Health Insurance Portability and Accountability Act (HIPAA), aimed at preventing unauthorized disclosure of Protected Health Information (PHI).

• Maintains strict confidentiality.

• Utilizes strong oral and written communication skills to convey ideas clearly and positively, in alignment with the organization's mission.

• Upholds established policies, procedures, objectives, quality assurance standards, safety protocols, and infection control measures.

• Executes job responsibilities in a manner consistent with the organization's mission and ethical standards, while supporting cultural diversity objectives.

• Supports and adheres to the organization's service guarantee.

• Collaborates effectively with physicians, administrators, patients, families, other departments, and the community to enhance patient care and outcomes.

• Ensures that competency assessments for all associates are completed as part of the orientation process and on an ongoing basis. Identifies, plans, and develops programs to meet the educational and skill needs of associates upon hiring and continuously thereafter.

• Annually contributes to the development of operating and capital budgets to address the needs of the clinics.

• Reviews financial and productivity management reports and takes necessary actions.

• Evaluates clinic productivity and modifies procedures or creates new forms to enhance workflow efficiency.

• Supervises both clinical and non-clinical areas to ensure timely and effective management.

• Coordinates with providers as needed to ensure that projects and assignments are effectively managed by the administrative staff.

• Demonstrates commitment to the mission and core values of the organization.

• Performs other related duties as required.
