The Executive Assistant plays a critical role in managing the reception area and coordinating administrative activities. This position ensures smooth office operations, maintains a professional image, and provides support to senior management.

Responsibilities include:

  • Managing telephone and mail communications, maintaining a professional image for the university.
  • Coordinating overall administrative activities for the Office of Administration.
  • Oversight of office areas, equipment, and facilities, including layout, arrangement, and housekeeping.
  • Negotiating purchases of office supplies, furniture, and equipment, adhering to university policies and budgetary restrictions.
  • Supervising maintenance of office equipment, including copiers and fax machines.
  • Handling day-to-day operations of office facilities, addressing maintenance or operational issues promptly.
  • Participating in special departmental projects as needed, providing support.
  • Organizing meetings, events, and conferences, managing logistical details.
  • Arranging transportation and accommodation for university officials, as needed.
  • Preparing letters, presentations, and reports for senior management.
  • Managing office budgets, ensuring effective use of resources and compliance with budgetary constraints.
  • Implementing and maintaining office administrative systems and procedures.
  • Utilizing software packages to manage databases, prepare documents, and support office operations.
  • Attending meetings with senior management, providing administrative support and taking minutes, as required.

Required skills and qualifications:

  • A bachelor's degree or equivalent, with at least two years of experience in office management or a related field.
  • Ability to lift 10 pounds.

Estimated salary range: $45,000 - $65,000 per year, depending on qualifications and experience.
