POSITION SUMMARY

The Real Estate Operations Manager is tasked with overseeing the management and operational functions of the property portfolio, focusing on maximizing asset value and revenue through effective property management, tenant engagement, and operational excellence. This role encompasses leasing activities and property viewings.

KEY RESPONSIBILITIES include, but are not limited to:

  • Identifying potential new tenants, preparing proposals, drafting Letters of Intent, and formulating new leases or amendments in collaboration with ownership and legal teams as necessary.
  • Assisting in the development and execution of strategic initiatives to enhance and sustain the real estate portfolio.
  • Coordinating lease build-outs, tenant improvements, and construction projects.
  • Creating and preparing marketing materials to attract prospective tenants.
  • Establishing and nurturing relationships with current tenants through professional interactions.
  • Utilizing professional expertise in negotiations for all real estate transactions and acting as a liaison with other brokers and external parties.
  • Planning, developing, and implementing strategies to strengthen and manage consultant relationships related to the portfolio (including engineers, architects, and general contractors).
  • Assisting in the design, preparation, and presentation of tenant Letters of Intent for potential tenants.
  • Drafting and proposing materials and documents for review and approval in conjunction with the company’s General Counsel on all real estate legal matters.
  • Overseeing administrative staff in tracking lease expirations, renewals, options, rent increases, and reconciliations.
  • Reviewing and creating operational procedures, policies, and standards as necessary.
  • Recommending and implementing systems and process enhancements by analyzing workflows.
  • Collaborating with all departments to ensure ownership priorities are addressed.
  • Maintaining comparative market knowledge in coordination with ownership regarding all real estate activities.
  • Working closely with administrative and accounting personnel to ensure accurate records, compliance, timely billing, invoicing, and receipt of funds.
  • Leading responses to tenant needs and identifying maintenance projects based on professional experience, while ensuring compliance with regulations.
  • Regularly interacting with ownership to ensure objectives are met.
  • Supervising the Property Maintenance Technician and managing time records.
  • Conducting regular property inspections, recommending alterations, maintenance, and reconditioning as necessary, and overseeing vendor services.
  • Ensuring adherence to leasing agreements, property contracts, and legal obligations.
  • Developing and implementing property budgets, forecasts, and financial strategies.
  • Monitoring and managing property expenses within the approved budget.
  • Preparing and presenting regular performance reports to stakeholders.

SUPERVISORY ROLE

The Real Estate Operations Manager will supervise the Property Maintenance Technician and the Administrative Assistant.

CERTIFICATION

  • Preferred: VA Real Estate Salesperson License
  • Helpful but not required: Certified Property Manager (CPM) designation

LANGUAGE PROFICIENCY

Fluency in English is required. Proficiency in additional languages, such as Spanish, is advantageous. Candidates must possess the ability to read, analyze, and interpret business documents, professional journals, and technical procedures.

MATHEMATICAL APTITUDE

Ability to work with mathematical concepts and apply them to practical situations, including calculating discounts and commissions.

REASONING ABILITY

Must possess the ability to interpret reports and advise management regarding market conditions, as well as the ability to define problems, collect data, and draw valid conclusions.

COMPUTER PROFICIENCY

Proficiency in Microsoft Word, Excel, and Outlook, along with a solid understanding of the Internet.
