About Summit ElderCare:


Fallon Health operates the largest PACE program in New England, known as Summit ElderCare, which offers older adults and their caregivers a viable alternative to nursing home care.

Participants in Summit ElderCare benefit from comprehensive medical services and social support while maintaining their independence in their own homes and communities.


Key Responsibilities:
The Administrative Assistant is responsible for managing all daily front office operations. This includes directing incoming calls to the appropriate departments and staff, as well as efficiently handling a multi-line phone system with professionalism and composure.

Key duties include maintaining transportation records for program members and fostering positive relationships with transportation vendors. The role serves as the primary contact for all transportation-related inquiries and manages all incoming and outgoing correspondence, including mail, faxes, and necessary documentation for various departments.



Specific Duties Include:
1. Welcome participants and visitors with a friendly attitude.
2. Manage telephone communications; route calls to the appropriate personnel; accurately transcribe and relay messages.
3. Organize and process incoming mail.
4. Draft and type general office correspondence, including letters and memorandums.
5. Handle fax communications using e-faxing technology.
6. Communicate transportation changes to vendors via phone and fax.
7. Maintain an accurate log of arrival and departure times.
8. Inform relevant departments of any transportation changes or cancellations.
9. Record grievances and incidents in the database for quality improvement purposes.
10. Schedule external medical appointments and intakes, ensuring medical records are obtained and transportation arranged as needed.
11. Maintain the Electronic Health Record (EHR) using NextGen, ensuring all charts are up-to-date.
12. Process authorizations through QNXT.
13. Coordinate intakes when enrollment nurses reach out and manage the associated paperwork.
14. After the Service Plan is completed for new enrollees, input their information into NextGen for processing.
15. Provide coverage for the Receptionist during lunch breaks.
16. Accurately scan all medical records from current and previous providers into the EHR in a timely manner.
17. Develop and prioritize work plans independently, adapting established procedures to ensure timely completion of tasks in line with departmental policies and standards.

Qualifications:

Education:
High school diploma or equivalent required.

Certifications:
Willingness to obtain Alzheimer's certification and CPR certification is essential.

Experience:
Minimum of 2 years in customer service, secretarial, or receptionist roles.

Proficiency in computer applications (Word, Excel, PowerPoint) is required.
Familiarity with IDX is preferred.
