Position Overview

ROLE SUMMARY

The Patient Services Coordinator serves as the initial point of contact for patients entering the medical facility. Responsibilities include greeting patients, collecting necessary information, addressing inquiries, scheduling appointments, answering phone calls, and verifying insurance details.

This role requires a high level of professionalism and collaboration with team members to achieve outstanding results.

Key Responsibilities

PRIMARY DUTIES:
  • Welcome patients and visitors
  • Facilitate the check-in and check-out processes using Electronic Health Records
  • Assist patients in completing required documentation
  • Safeguard patient information and maintain confidentiality
  • Schedule and prioritize appointment requests based on urgency
  • Make reminder calls for upcoming appointments
  • Collect co-payments in accordance with health plan requirements
  • Verify insurance prior to patient appointments
  • Manage incoming phone calls and direct them appropriately
  • Update electronic health records with current patient information
  • Consult with medical staff for clinical decision-making as needed
  • Utilize Electronic Health Record functionalities for communication
  • Monitor reminder call logs to reschedule appointments
  • Scan and index documents into the EHR, ensuring availability of necessary information for patient visits
  • Participate in interdisciplinary teams focused on patient care and outcomes
  • Support colleagues to ensure smooth office operations and excellent service delivery
  • Address patient concerns and issues as they arise
  • Perform additional duties as assigned
Qualifications

REQUIRED QUALIFICATIONS:
  • Experience in office administration, reception, clerical, or customer service roles in a busy environment
  • Consistently professional demeanor and communication skills
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities effectively
  • Resourceful problem-solving skills
  • Accountability in task completion
  • Ability to thrive in a fast-paced setting
  • Proficiency in Microsoft Office Suite, including Word, Outlook, and Excel
PREFERRED QUALIFICATIONS:
  • High School Diploma or equivalent
  • Experience with electronic health records
  • Familiarity with processing referral authorizations
  • Previous experience in medical office or hospital patient access registration
  • Experience in underserved or culturally diverse communities
  • Knowledge of medical terminology
  • Understanding of ICD-10 and CPT coding
  • Bilingual in Spanish and English
