Project Coordinator

Job Overview
This role reports directly to the Business Unit Manager and is accountable for ensuring customer fulfillment from contract receipt to the final product shipment. The position requires active engagement with customers to foster relationships that guarantee satisfaction with contracts for designated clients, products, or regions. Regular interaction with customers is essential to align operations and all departments for timely delivery of high-quality products.
Key Responsibilities
- Customer Ownership: Serve as the primary point of contact for all communications related to scheduling, technical issues, and cost management.
- Prioritization: Collaborate with customers to establish priorities, ensuring transparency and effective communication.
- Goal Setting: Define realistic objectives and develop strategies to meet business targets.
- Delivery Planning: Create, monitor, and execute delivery schedules while addressing constraints and eliminating roadblocks.
- Performance Monitoring: Track key performance indicators (KPIs), prepare scorecards, and generate weekly reports covering schedule adherence, quality, risk, and corrective actions.
- Expectation Management: Communicate expectations to management and customers through regular reviews and updates.
- Risk Management: Identify potential risks and take proactive measures to resolve customer-related issues swiftly.
- Resource Assessment: Evaluate demand and ensure that resources are available to meet customer needs.
- Operational Linkage: Enhance the connection between operations and customer needs.
- Constraint Ownership: Take responsibility for any factors affecting delivery or product quality.
- Site Visit Facilitation: Organize customer site visits, ensuring that the organization is prepared to meet customer expectations.
- Cross-Department Communication: Share program requirements with relevant departments.
- Contract Compliance: Oversee schedules and communications to ensure contract obligations are met within time and budget constraints.
- Issue Resolution: Collaborate with various departments to address program challenges.
- Milestone Reviews: Conduct meetings with departments to assess program progress and implement necessary corrective actions.
- Risk Identification: Recognize program risks and manage them appropriately, escalating issues to management as needed.
- Collaboration: Work with contracts, sales, finance, and management teams to support bidding and negotiation processes.
- Program Reviews: Prepare and present monthly reviews on program status, including scheduling, financials, risk management, and resource allocation.
- Business Planning: Assist in establishing program goals and strategies aligned with company objectives, developing measurable KPIs with the Program Management team.
- Senior Management Engagement: Consult with senior leadership to review targets and discuss necessary adjustments based on current conditions.
- Ethical Standards: Uphold the highest ethical standards in all interactions.
Qualifications
- Proficient in English, both written and spoken.
- Strong planning and leadership capabilities.
- Self-driven team leader with a focus on continuous improvement.
- Exceptional organizational, communication, analytical, and presentation skills.
- Active Department of Defense SECRET Clearance preferred; candidates must be able to obtain and maintain this clearance.
- Proficient in Microsoft Office; willing to learn manufacturing applications.
- Familiarity with lean manufacturing principles, including visual management and value stream mapping.
- Effective communicator at all organizational levels.
- Ability to maintain composure under pressure and meet deadlines.
- Capability to work independently with minimal supervision.
- Skilled in multitasking and managing multiple projects.
- Strong customer focus and responsiveness.
- Technical proficiency with the ability to convey complex issues clearly to diverse stakeholders.
- Ability to navigate an environment requiring tact, sensitivity, respect, and decisiveness.
Education and Experience Requirements
- Bachelor's degree in Business or a Technical field is required; an MBA or advanced degree is preferred.
- 5-7 years of experience in Manufacturing program management, ideally within the aerospace sector.
- Project Management Professional (PMP) certification is highly desirable.
Work Schedule: Monday to Friday, 7:30 AM to 4:30 PM.
