The Worldwide Aviation Support Services (WASS) program, a division of AAR, is based in Rockledge, FL, and offers exceptional expeditionary and conventional aviation solutions to the US Department of State Air Wing.


Role Overview:


This role encompasses a diverse range of administrative and technical tasks, including data extraction and analysis, account updates, and the preparation of correspondence, memos, and reports. The incumbent will also make recommendations aimed at enhancing business processes within the department.

Regularly exercises administrative judgment and assumes accountability for decisions and their consequences, which can significantly impact personnel, costs, and service quality within the functional area.


Key Duties:


- Maintain and generate reports while performing administrative and technical functions that necessitate a solid understanding of departmental operations, facility protocols, and company policies.

- Execute various tasks, including report generation, data collection, trend analysis, and documentation of business processes.

- Adhere to administrative procedures and propose process improvements.

- Handle confidential or sensitive information, typically of a technical or proprietary nature.

- Establish and maintain an efficient filing system for easy retrieval of materials.

- Consult with the site manager on extraordinary or complex cases, presenting recommended solutions.

- Demonstrate comprehensive knowledge of site and company policies and procedures.

- Foster effective working relationships within the department, company, and community while maintaining professional competence and skills necessary for fulfilling assigned responsibilities.

- Assist in the development of various budgets, including contract line items defined by purchase orders.

- Analyze budget trends, program expenditures, and prepare budget reports for management review.

- Support the creation and maintenance of budget monitoring systems, including the site’s invoice copies.

- Aid in the formulation of business proposals.

- Collaborate with relevant internal and external administrative offices to ensure compliance with required procedures.

- Provide guidance and respond to inquiries regarding budget procedures, acting as a liaison between the business unit and corporate.

- Identify budget-related issues, propose alternative solutions, and assist in problem resolution.

- Monitor expenditures throughout the budget cycle.

- Apply knowledge of applicable laws and regulations, ensuring document completeness and compliance with government and private sector clients.

- Execute individual assignments as deemed necessary by the site manager, ensuring that adequate controls are maintained over all activities affecting quality.

- Utilize various software applications, including spreadsheets, relational databases, statistical tools, and graphics software, to compile, manipulate, and format data and reports.


Qualifications:


- An Associate's degree or equivalent from a two-year college or technical school; alternatively, an additional four years of relevant experience may be considered in lieu of a degree.

- A minimum of three years of experience in logistics is required.

- Local travel may be required (5-10%).

- The position necessitates the ability to obtain and maintain a U.S. security clearance.
