The Worldwide Aviation Support Services (WASS) program, part of AAR, is based in Rockledge, FL, and provides exceptional expeditionary and conventional aviation solutions to the US Department of State Air Wing.


Role Overview:


This role encompasses a variety of administrative and technical tasks, including data extraction and analysis, account updates, and the preparation of correspondence, memos, and reports. The position involves making recommendations to enhance business processes within the functional department.

Regularly exercises administrative judgment and assumes responsibility for decisions and their outcomes, which can affect personnel, costs, and service quality within the functional area.


Key Responsibilities:


- Maintain reports and perform administrative and technical tasks requiring knowledge of departmental operations, company policies, and current practices.

- Execute diverse duties including report preparation, data collection, trend analysis, reconciliation reports, and documentation of business processes.

- Adhere to administrative protocols and propose process improvements.

- Handle confidential or sensitive information, typically of a technical or proprietary nature.

- Establish and maintain an efficient filing system for easy retrieval of materials.

- Advise the site manager on extraordinary or complex cases and suggest resolutions.

- Possess comprehensive knowledge of site and company policies and procedures.

- Foster effective working relationships within the department, the company, and the community while maintaining professional competence necessary for satisfactory performance.

- Assist in developing various budgets, including contract line items typically defined by purchase orders.

- Analyze budget trends, program expenditures, and prepare budget reports for management review.

- Aid in the creation and maintenance of budget monitoring systems, including site copies of invoices.

- Support the development of business proposals.

- Collaborate with internal and external administrative offices to ensure compliance with required procedures.

- Provide guidance and respond to inquiries regarding budget procedures, acting as a liaison between the business unit and corporate.

- Identify budgetary issues, propose alternative solutions, and assist in problem resolution.

- Monitor expenditures throughout the budgetary cycle.

- Apply knowledge of applicable laws and regulations, ensuring document completeness and compliance with government and private customers.

- Undertake individual assignments as directed by the site manager, ensuring continuous quality control over all assigned activities.

- Utilize various software applications, such as spreadsheets and databases, to compile, manipulate, and format data and reports.


Qualifications:


- Associate's degree or equivalent from a two-year college or technical school; alternatively, an additional four years of experience may substitute for the degree.

- Minimum of three years of logistics experience.

- Local travel may be required (5-10%).

- Ability to obtain and maintain a U.S. security clearance is necessary.
