Job Summary

We are seeking a highly skilled Program Specialist II to join our team at the Texas Department of Aging & Disability Services. This role will be responsible for supporting the Immunization Information System (IIS) Unit, performing registration and renewal processing, and developing training and communication tools for IIS users and partners.

Key Responsibilities
  • Registration and Renewal Processing
    • Verify legitimacy of organizations registering and renewing to meet legal requirements for reporting and accessing IIS client and immunization data
    • Identify and resolve registration and renewal issues, data entry errors, and other related data quality issues
    • Perform outreach to organizations registering to verify and confirm information submitted for registrations and renewals
  • Training and Communication
    • Coordinate and participate in the development of training tools and communication resources
    • Develop training tools and guides for all partners, stakeholders, and end users of the IIS
    • Support and maintain initial design and subsequent modifications to the IIS pages of the public DSHS website
  • Outreach and Training
    • Provide initial and ongoing training to immunization program health educators, IIS Helpdesk staff, and/or TVFC site visit staff
    • Serve as a liaison to registered provider clinics, with emphasis on both private and public providers
    • Serve as liaison between IIS and other Immunization programs, including Vaccines for Children (VFC) and Assessment for annual enrollment and re-enrollment activities
  • Customer Service and Education
    • Coordinate the education of the customer service team to respond to calls from health care providers, school personnel, childcare providers, and other stakeholders
    • Coordinate the documentation of policies and standard operating procedures to guide operations
Requirements
  • Knowledge and Skills
    • Knowledge of public health program practices, principles, and techniques
    • Knowledge of the immunization program, immunization registries, and of laws relating to immunization registries
    • Knowledge of customer service and user support related activities
    • Knowledge of the practices, principles, and use of computers and computer software
  • Abilities
    • Ability to effectively communicate over the telephone, to communicate verbally, and in writing
    • Ability to identify and define customer needs; gather, assemble, correlate, and analyze facts; and devise solutions to problems
    • Ability to accurately perform data entry, analysis of data, and prepare concise and accurate reports
    • Ability to develop and evaluate processes and procedures; interpret complex policies, procedures, and regulations; and communicate them clearly and effectively to others
    • Ability to use independent judgment and to plan, organize, and coordinate work assignments
Working Conditions

This role may require daytime or overnight travel as necessary.
