Job Overview

Position Title: Procurement Specialist

Role Summary:

The Procurement Specialist is tasked with sourcing materials and supplies while ensuring optimal cost, quality, availability, and timely delivery. This role collaborates with vendors to secure the most favorable overall cost for materials and is dedicated to nurturing and sustaining long-term supplier partnerships.

Key Responsibilities:

  • Oversee all purchasing activities utilizing the ERP forecasting system for both standard and custom products.
  • Assess suppliers based on pricing, quality, availability, and alignment with company objectives.
  • Foster and maintain enduring relationships with suppliers.
  • Address and resolve discrepancies related to supplier invoices.
  • Organize, track, and verify the delivery of goods and supplies.
  • Respond promptly to Account Representatives' requests for pricing quotations.
  • Review daily back-order reports and weekly open purchase reports.
  • Establish item numbers for new products in accordance with company protocols.
  • Oversee and authorize intercompany stock transfers.
  • Request and expedite samples as needed.
  • Facilitate returns for defective or slow-moving inventory.
  • Perform additional tasks as required.

  • Exceptional communication and interpersonal abilities, capable of articulating ideas clearly, both verbally and in writing, across all organizational levels.
  • Demonstrated organizational skills with a keen attention to detail.
  • Ability to effectively prioritize tasks and adhere to strict deadlines.
  • Capability to thrive in a fast-paced and occasionally high-pressure environment.
  • Strong analytical and mathematical skills.
  • Proficient in working independently with minimal supervision while also being an effective team player.

Additional Skills & Qualifications:

  • Advanced knowledge of Microsoft Office Suite, particularly Microsoft Excel, is essential.
  • Proven track record as a procurement agent or in a similar capacity.
  • Ability to quickly establish trust and rapport.
  • Competent in utilizing various software and hardware for internet navigation.

Educational Background:

  • A bachelor's degree in business administration, economics, or a related discipline is highly preferred, though not mandatory.
  • Experience with ERP systems is essential.
  • A minimum of 5 years of experience in a procurement role is required.
  • Experience with distributors is advantageous but not necessary.
