Position Summary

The Parts Counter Specialist is responsible for assisting customers in selecting necessary automotive components, whether in person, via the shop, or over the phone.

Key Responsibilities

  • Provide assistance to all customers (both retail and shop) in a courteous, professional, and efficient manner.
  • Inform customers about related part requirements and promotions, ensuring they are aware of the complete product range.
  • Handle incoming calls, offering pricing information and other relevant details.
  • Review estimates from the body shop to confirm that ordered parts are accurate and that pricing aligns with the estimates.
  • Deliver exceptional service to both internal and external clients.
  • Retrieve and fulfill orders from inventory.
  • Alert the parts manager regarding any out-of-stock items or urgent shop supplies.
  • Source out-of-stock parts from external suppliers and place emergency orders when necessary.
  • Notify service advisors and customers upon receipt of special orders.
  • Inform the body shop when all ordered parts have arrived and their delivery schedule.
  • Prepare orders for delivery to the body shop, ensuring all parts are labeled with customer names and job numbers.
  • Follow up on back-ordered items.
  • Verify will-call and back-order files weekly, returning items to vendors or restocking those not picked up.
  • Restock assigned inventory on a daily basis.
  • Assist outside sales representatives with their orders.
  • Ensure all internal parts requests are billed on service repair orders.
  • Process payments from retail customers or obtain credit authorization.
  • Confirm that all charge sales are signed by the customer.
  • Ensure customers receive their copy of the invoice.
  • Issue credits for returned parts, verifying the original invoice or its number for purchase and pricing accuracy.
  • Track and issue requested shop tools to technicians.
  • Maintain organized records of all repair orders, invoices, insurance estimates, and special orders.
  • Prepare orders for daily shipment, delivery, or pick-up.
  • Engage with assigned accounts via phone.
  • Keep front and rear counter areas tidy and organized.
  • Clean computer terminals and printers on a daily basis.
  • Participate in all available training programs.
  • Stay updated on new products and product enhancements.
  • Collaborate with the parts manager to maintain a lost sales tracking program.
  • Uphold a professional appearance.
  • Perform other duties as assigned.

Education and Experience

  • No prior experience or training is required.
  • A high school diploma or equivalent (GED); or one to three months of related experience and/or training; or a combination of education and experience.
  • Ability to perform basic arithmetic operations, including addition, subtraction, multiplication, and division using whole numbers, fractions, and decimals. Capability to compute rates, ratios, and percentages, and to interpret bar graphs.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Proficiency in applying basic algebra and geometry concepts.
