Job Overview

We are seeking a highly organized and detail-oriented Administrative Assistant to provide executive-level support to our leadership team. The ideal candidate will have a minimum of 2+ years of experience in a fast-paced team environment and possess excellent interpersonal skills.

Key Responsibilities
  • Provide administrative support to the EVP and SVP, including calendar management, travel planning, and expense reporting.
  • Manage speaking and meeting engagements for both executives, including coordination of prep calls, gathering talking points, and briefing documents.
  • Serve as an administrative liaison to the Board of Directors, Executive Board, Finance Committee, and Nominating and Membership Committee.
  • Prepare and oversee the CEO's schedule for key events, including the annual trade show and board meetings.
  • Collect and analyze board participation and attendance data.
  • Proactively cultivate dialogue between executives and internal departments to ensure fluid communication throughout the organization.
  • Manage industry engagement calendars and ensure internal calendars are consistent with external events.
  • Monitor relevant email inboxes and assign staff members to follow up with inquiries.
Requirements
  • Minimum 2+ years of experience as an executive assistant, administrative assistant, or project manager in a fast-paced team environment.
  • Proven planning and organizational skills with strong attention to detail.
  • Proficiency in Microsoft Office suite, including Word, PowerPoint, Excel, Outlook, and SharePoint.
  • Excellent interpersonal skills and ability to exercise discretion on all matters.
