Job Overview: As a Front Desk Coordinator, you will be the first point of contact for visitors and clients, providing a warm and welcoming experience. You will be responsible for managing the front desk, coordinating telecommunications, and ensuring the smooth operation of our office.

Key Responsibilities:

  • Greet and Welcome Visitors: Greet visitors, clients, and staff with a smile, and direct them to the appropriate staff member or department.
  • Manage Front Desk Operations: Maintain the lobby and front desk, ensuring it is tidy and well-organized.
  • Coordinate Telecommunications: Answer and direct incoming telephone calls, and refer inquiries to the appropriate staff member.
  • Provide Administrative Support: Assist with tasks such as making appointments, sending messages, and maintaining the voicemail system.
  • Ensure Smooth Check-in Process: Ensure clients and visitors check-in using our online Proxyclick system, and provide other programmatic support as needed.
  • Provide Referrals and Information: Provide referrals and information on IRC programs and services, and refer non-IRC clients to internal and external resources.
  • Maintain Office Supplies: Order and maintain stock of office supplies, and review inventory and monitor prices.
  • Perform Other Tasks: Perform other tasks and projects as assigned by the team lead.

Requirements:

  • Education: High school diploma or equivalent education or work experience.
  • Experience: Minimum 1 year relevant work experience in administration, reception, or other experience in providing professional customer service.
  • Skills: Well-organized, reliable, professional, detail-oriented, and flexible. Ability to work independently, be a self-starter, and maintain responsibility for multiple tasks.
  • Language: Excellent communication skills, with fluency in spoken English. Bilingual ability in one of the predominant languages of the local client base a plus.

Working Environment:

  • Office Environment: Professional, fast-paced office environment.
  • Computer Use: Must be able to use a computer for long periods of time.
  • Working Hours: Monday-Friday, 9:00am-5pm.
