Job Summary:

The Commonwealth of Pennsylvania is seeking a highly skilled Administrative Officer 2 to join its team in the Energy Resource Management Office (ERMO) within the Department of General Services (DGS).

Key Responsibilities:

As the Administrative Officer 2, you will be responsible for overseeing essential programs that support asset management and maintenance across the Commonwealth. This includes managing the Integrated Workplace Management System (IWMS), leading system upgrades, optimizing workflows, and ensuring the accuracy of data used in preventative maintenance and asset tracking.

Additional Duties:

• Oversee the Work Order Software Program for asset management, maintenance, and technical support.

• Manage user accounts, training, system upgrades, and ensures data integrity within the Integrated Workplace Management System (IWMS).

• Develop policies and procedures for IWMS, radio systems, and mobile devices; maintaining and distributing user guides.

• Lead IWMS upgrade projects, including developing requirements, testing upgrades, and implementing new features or modules.

• Create reports using Power BI, analyze data, and collaborate with vendors and IT departments to improve system processes and handle equipment needs.

Requirements:

• One year of experience as an Administrative Officer 1;

• Three years of experience in progressively responsible and varied office management or staff work, including experience in personnel management, budgeting, or procurement; and a bachelor's degree;

• Any equivalent combination of experience and training.

Preferred Qualifications:

• Experience with asset management systems (e.g., managing software for asset tracking, preventative maintenance, or warehouse inventory)

• Experience overseeing administrative tasks related to technology systems (e.g., report generation, system upgrades)

• Experience in customer service and support (e.g., assisting staff with software systems, troubleshooting issues, and ensuring user satisfaction)
