Job Summary

We are seeking an experienced Administrative Assistant I to provide administrative support and biweekly processing of payroll earnings and deductions within the Fire Department and Macon-Bibb County procedures and guidelines.

Key Responsibilities
  • Assist in all forms of clerical and receptionist duties.
  • Set up and review bi-weekly time and attendance process using computerized payroll system and assist with the processing of ACH payments.
  • Review temporary payroll adjustment forms for validity and accuracy.
  • Check time entry for accuracy in NSW ERP.
  • Coordinate training curriculums and provide information to all employees to assist with interpretation with the Fire payroll system.
  • Assist departments with payroll questions and advise department on proper means of completing time entry into the payroll system.
  • Review vacation and sick leave accrual records for accuracy.
  • Conduct periodic accrual audits to ensure integrity of records and to correct errors.
  • Assist with preparing the annual Department budget.
  • Research and interpret laws associated with benefits, taxes, and other pertinent regulations.
  • Maintain Department files, office equipment, and inventory of supplies.
  • Maintain and process personnel files and records.
  • Compose letters, proposals, reports, notices, proclamations and inter-office memorandums.
  • Assist in special event planning.
  • Answer high volume telephones.
  • Provide Fire Reports and Open records request
  • Issue Burn Permit.
  • Maintain logs and record management for inspection request and reports
Requirements
  • High school diploma or equivalent.
  • At least three (3) years of experience in administrative support.
  • Knowledge of the principles and practices of local government administration.
  • Knowledge of budgetary preparation procedures and administration.
  • Knowledge and proficiency of personal computers and word processing and database programs, including the Microsoft Office Suite, the Windows NT network, and internet and e-mail services.
  • Ability to write clear and concise reports, memoranda, directives and letters.
  • Ability to develop comprehensive plans from general instructions.
  • Ability to accomplish assigned administrative tasks with a minimum of supervision and with only general direction.
  • Ability to meet the public and to discuss problems and complaints tactfully, courteously, and effectively.
  • Ability to use discretion and to maintain appropriate confidentiality and security of private or confidential information.
  • Ability to maintain effective working relationships with other employees, elected officials, private organizations, and the general public.
