We are in search of a detail-oriented and proactive Administrative Coordinator to assist our executive team and play a vital role in our vibrant and expanding organization.

Role Summary

The Administrative Coordinator will deliver comprehensive administrative support to the executive team, ensuring smooth operations and aiding in the realization of organizational objectives. This position encompasses reception, social media management, and order processing responsibilities. The ideal candidate will possess outstanding communication abilities, meticulous attention to detail, and the capacity to manage confidential information with the utmost care.

Key Responsibilities

  • Oversee and organize executive schedules, including coordinating meetings, appointments, and travel arrangements.
  • Draft and refine correspondence, reports, presentations, and other documentation as required.
  • Act as a point of contact between executives and both internal and external stakeholders.
  • Manage incoming communications, including emails and phone inquiries, responding on behalf of executives when necessary.
  • Support special projects and initiatives as directed by the executive team.
  • Maintain confidential files and records, ensuring their security and accessibility.
  • Conduct research and compile data to aid in decision-making processes.
  • Perform additional administrative tasks as needed to support the executive team.

Reception Duties

  • Welcome clients, offer refreshments, assist them in selecting colors and products for their desired manicure, and guide them to the appropriate nail technician.
  • Screen and direct incoming phone calls.
  • Ensure a clean and inviting reception area.
  • Manage incoming and outgoing mail and deliveries.

Social Media Management Duties

  • Develop and execute social media strategies to enhance brand visibility and engagement.
  • Create, curate, and schedule content across various social media platforms.
  • Monitor and respond to social media interactions and messages.
  • Analyze social media metrics and adjust strategies accordingly.
  • Stay informed about social media trends and best practices.

Order Management Duties

  • Accurately process and prepare customer orders.
  • Maintain inventory records and manage stock levels.
  • Address customer inquiries and resolve order-related issues.
  • Analyze order trends to optimize inventory and sales strategies.

Qualifications

  • Bachelor's degree in Business Administration, Communications, or a related field is preferred.
  • A minimum of 2 years of experience in an administrative support role or similar position.
  • Proficient in Microsoft Office Suite and other relevant software.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks simultaneously and prioritize effectively.
  • Discretion and confidentiality in handling sensitive information.
  • Professional demeanor with the ability to interact with all levels of the organization.
