Responsibilities:
The SE Secretary/Receptionist is accountable for overseeing all daily front office operations. This role requires the ability to efficiently direct calls to the appropriate departments and staff while conveying messages accurately.

Responsible for maintaining records related to transportation for program members and fostering a positive relationship with our transportation vendor.

This position serves as the primary contact for all transportation-related inquiries. Additionally, it involves managing all incoming and outgoing mail, faxes, and copying tasks required by various departments.

Key Activities Include:
- Welcome participants and the public with a friendly demeanor.

- Answer phone calls; route calls to the correct staff; transcribe and relay messages.

- Open and organize incoming mail.

- Draft general office correspondence, including letters and memorandums.

- Maintain and distribute faxes using e-faxing.

- Communicate all transportation changes to the vendor via calls and faxes.

- Keep an accurate log of arrival and departure times.

- Inform relevant departments of transportation changes and cancellations.

- Record grievances and incidents in the database for quality improvement purposes.

- Schedule all external medical appointments and intakes, obtain medical records, and arrange transportation as needed.

- Maintain the Electronic Health Record (EHR) using NextGen, ensuring that charts are up-to-date.

- Enter authorizations using QNXT.

- Accurately scan all medical records from current and previous providers into the EHR in a timely manner.

- Generally establish a personal work plan and priorities, modifying established procedures to ensure timely completion of assigned tasks in accordance with departmental policies and standards.

Qualifications:
- High school diploma or equivalent.

- Alzheimer's certification or willingness to obtain certification.

- CPR certification or willingness to obtain certification is essential.

- Minimum of 2 years of experience in customer service, secretarial, or receptionist roles.

- Proficient computer skills (Word, Excel, PowerPoint) are required.

- Familiarity with IDX is desirable but not mandatory.
