Position Title: Receptionist

Position Summary:

We are currently in search of a dedicated and reliable Receptionist to join our Pretrial Services Department. In this role, you will be the first point of contact for individuals visiting our office, ensuring a welcoming and positive experience. The ideal candidate will possess empathy, exceptional communication skills, and a high level of organization. Your primary responsibilities will include supporting our Supervised Release Program participants and staff by maintaining efficient front desk operations and performing additional tasks that contribute to the overall success of our initiatives.

The Supervised Release Program (SRP) within the Pretrial Services Department is designed to divert individuals from pretrial detention to community-based supervision and support services. Participants may include youth, individuals with substance use disorders, mental health challenges, and those experiencing homelessness. It is essential that staff engage participants in a manner that encourages them to harness their strengths and skills for meaningful life changes while adhering to court mandates.

Compensation: The annual salary for the Receptionist role is $42,000.

Work Schedule: This is a full-time position, Monday through Friday, from 9 AM to 5 PM.

Work Environment: This position requires on-site presence.

Key Responsibilities:

  • Welcome clients and visitors, determining the purpose of their visit.
  • Professionally manage incoming calls, ensuring accurate information is gathered and conveyed.
  • Oversee the waiting area to maintain a safe and healthy environment for clients and staff.
  • Provide administrative and clerical assistance to staff as directed by the Borough Director.
  • Handle incoming mail by sorting and distributing it appropriately.
  • Offer triage support and direct assistance to program participants as necessary.
  • Perform data entry for Court Programs into the database, ensuring accuracy as instructed.
  • Create and maintain organizational documents such as spreadsheets and charts to facilitate program efficiency.
  • Deliver culturally competent services in line with organizational policies and procedures.
  • Complete any additional tasks as assigned by supervisory and executive staff.

Qualifications:

  • Associate's degree or a high school diploma with 2-3 years of relevant experience.
  • Strong organizational skills and meticulous attention to detail.
  • Excellent verbal and written communication abilities.
  • Commitment to confidentiality.
  • Strong interpersonal skills.
  • Proficiency in word processing and spreadsheet software (MS Word, Excel), with experience in PowerPoint preferred.
  • Ability to work independently and demonstrate initiative.

Preferred Skills:

  • Experience in conflict management and de-escalation techniques is a plus.
