Overview

This is a full-time hybrid role.

Hybrid schedule includes 4 days in the office and 1 day remote after a successful introductory period.

The role involves delivering exceptional operational support to Financial Advisors and their clientele, as well as collaborating with other team members.

Responsibilities
  • Manage daily administrative tasks for assigned Financial Advisor(s).
  • Act as the primary contact for a high volume of daily interactions, addressing inquiries, providing quotes, and scheduling meetings with both prospective and existing clients through various communication channels.
  • Facilitate the onboarding process for new clients, ensuring all necessary documentation is accurate and complete while overseeing the transfer of new assets.
  • Assist clients with paperwork related to account transfers, beneficiary designations, and other maintenance requests. Process client transactions, including trades, deposits, and withdrawals, while adhering to regulatory standards.
  • Receive and execute orders for the Financial Advisor(s), including entering unsolicited trades as directed.
  • Maintain daily communication with clients, providing trade settlement updates, coordinating payment and fund delivery, and addressing portfolio inquiries.
  • Collaborate with Financial Advisor(s) to prepare for client meetings and presentations, including data gathering and report creation.
  • Utilize Client Relationship Management (CRM) software to create and maintain client records and files, ensuring compliance with firm and industry regulations.
  • Support Financial Advisor(s) in marketing initiatives, including seminars and client engagement events.
  • Engage in available training and professional development opportunities to stay informed on firm and industry policies and procedures.
  • Contribute as part of a larger team focused on achieving organizational sales objectives.
  • Provide mentorship and share knowledge with colleagues.
  • Participate in client meetings with Financial Advisor(s) when requested.


Qualifications

Education

Bachelor's Degree or equivalent experience in business, finance, or a related field. (Required)

Experience

5+ years in financial services or sales environment. (Preferred)

3+ years in administrative roles within financial services or sales. (Required)

2+ years in investment operations, procedures, and transfers. (Required)

Certifications

SIE (Security Industry Essentials), Series 7, Series 63 (or Series 66). (Required)

Must be eligible for affiliation with our Broker Dealer. (Required)

Knowledge, Skills, and Abilities
  • Familiarity with investment industry terminology. (Required)
  • Mathematical proficiency for processing account and transaction information. (Required)
  • Effective communication skills, both oral and written, across all organizational levels. (Required)
  • Proactive approach to follow up on tasks to ensure completion and resolve any issues. (Required)
  • Adept at identifying time-sensitive tasks and managing competing priorities. (Required)
  • Proficiency in Microsoft Office Suite. (Preferred)
  • Experience with CRM software or similar contact management tools. (Preferred)


Other Duties as Assigned by Manager

This position may involve additional responsibilities as assigned by management. Every employee is accountable for understanding and adhering to all Company-assigned compliance programs, regulations, and policies, ensuring completion of compliance training by established deadlines. This includes recognizing compliance risks within their department and escalating concerns to the appropriate management level.

Salary ranges are established based on the position, function, and responsibilities, benchmarked against similar companies in our industry. Compensation will be determined based on various factors, including the candidate's expertise, experience, and relevant credentials. Salary may vary by geographic location.

The hourly rate for this position is $34.13.
