Overview: An innovative AI investment firm is seeking a dedicated Executive Partner Support Specialist to assist their Partner. This role presents a unique opportunity for an individual to contribute significantly within a dynamic team.

Key Responsibilities:

  • Deliver strategic administrative and organizational assistance to the Partner, enabling them to concentrate on high-priority tasks.
  • Oversee the Partner's complex calendar, coordinating with various stakeholders to prioritize engagements and ensure seamless logistics.
  • Proactively manage the Partner's email correspondence, crafting responses and facilitating communication with both internal and external parties.
  • Coordinate all travel arrangements for the Partner, including detailed itinerary creation to ensure smooth journeys.
  • Compile updates on key projects, tracking action items and ensuring the Partner remains informed on project statuses and deliverables.
  • Identify and eliminate barriers that hinder the Partner's efficiency, employing independent problem-solving skills to manage resources effectively.
  • Prepare for meetings by taking notes, creating action items, and conducting background research on participants to enhance the Partner's knowledge and preparedness.
  • Assist in organizing networking events and dinners, understanding the Partner's connections to curate guest lists.
  • Manage various ad-hoc projects as required.

Qualifications:

  • Minimum of 5 years of experience as an Executive Assistant supporting a high-level executive, preferably in a venture capital or fast-paced startup environment.
  • Exceptional verbal and written communication skills.
  • Proactive mindset with the ability to anticipate needs and navigate ambiguity.
  • Strong organizational abilities with meticulous attention to detail.
  • Demonstrated capability to adapt quickly to changing priorities.
  • High emotional intelligence and strong interpersonal skills.
  • Proven track record of follow-through and ensuring tasks are completed efficiently.
  • Creative problem-solving skills focused on operational efficiency.
