Senior Executive Assistant to General Partner at Venture Capital Firm

About the Role:
Bloom Talent is seeking a highly skilled Executive Assistant to provide comprehensive support to a General Partner at a leading venture capital firm. This firm is renowned for its strategic investments in some of the most influential companies in the tech industry. As part of a close-knit team, you will collaborate with other Executive Assistants to ensure seamless operations and support for the General Partner.

Key Responsibilities:

  • Oversee the General Partner's calendar, managing a complex schedule and coordinating meetings with various stakeholders.
  • Handle the email inbox efficiently, including prioritizing messages, drafting responses, and organizing correspondence.
  • Coordinate travel arrangements, creating detailed itineraries to ensure smooth travel experiences.
  • Prepare for meetings by tracking action items, next steps, and follow-ups to maintain accountability.
  • Assist in preparing the Partner for public speaking engagements and presentations.
  • Support task management and follow-up processes to ensure timely completion of responsibilities.
  • Maintain and update contact information and relationships in the CRM system.
  • Act as a liaison to portfolio companies, providing assistance and resources as needed.
  • Process expense reports and handle various administrative tasks as required.
  • Adapt to a dynamic workload, making informed decisions with limited context.
  • Provide light personal assistance to the Partner, including scheduling appointments and event coordination.

Qualifications:

  • A minimum of 5 years of experience as an Executive Assistant, preferably in a startup, investment, or hospitality environment.
  • Exceptional organizational skills, reliability, and adaptability.
  • A service-oriented mindset, with a commitment to delivering a high-quality support experience.
  • Proactive self-starter with the ability to manage multiple tasks and prioritize effectively.
  • Detail-oriented with a strong focus on follow-through and accountability.
  • Ability to thrive in a fast-paced, ever-changing environment.
  • Strong ownership mentality, with a proactive approach to problem-solving.
  • Ability to anticipate needs and navigate ambiguity with ease.
  • Proficient in technology tools such as Outlook, Airtable, Notion, Slack, and Asana.
