Job Summary

iCapital is seeking an Executive Assistant to provide high-level administrative support to Managing Directors in our New York and tri-state area offices. This role requires exceptional organizational skills, attention to detail, and the ability to work effectively with senior-level management.

Key Responsibilities
  • Manage complex calendars, coordinate daily tasks, and prioritize responsibilities with a high level of detail.
  • Arrange intricate travel plans, ensuring seamless execution.
  • Process expense reports in a timely manner, maintaining accuracy and efficiency.
  • Coordinate logistics for Board of Directors' meetings and company events as needed.
  • Format information for internal and external communications, including memos, emails, presentations, and reports.
  • Contribute to the execution of last-minute ideas, facilitate special requests, and support the team in delivering results.
Requirements
  • Undergraduate college degree.
  • Prior experience as an Executive Assistant working with senior-level management.
  • Ability to manage up, anticipating needs and demonstrating tact.
  • Strong attention to detail and high level of confidentiality.
  • Proficiency in using Microsoft Office (Word, Outlook, Excel, and PowerPoint).
  • Excellent interpersonal communication skills, both written and verbal.
  • Experience managing schedules and processes in a fast-paced environment.
  • Ability to schedule global travel, across multiple time zones, and multi-leg trips.
  • Team player, comfortable working with 30+ people, reporting to a senior admin.
  • Ability to operate in a dynamic environment, executing in situations where paths are uncharted.
  • Willingness to provide executive support beyond the scope of a typical workday.

iCapital offers a competitive compensation package, including a base salary range of $100,000 to $115,000, equity for all full-time employees, and an annual performance bonus. Additionally, employees receive a comprehensive benefits package, including an employer-matched retirement plan, generously subsidized healthcare, parental leave, and unlimited paid time off (PTO).

iCapital values a dynamic work environment and offers a flexible schedule, with the option to work remotely one day a week. Every department has different needs, and some positions will be designated in-office jobs, based on their function.
