This role is pivotal in advancing the philanthropic mission of the organization. The Associate Manager will oversee the operational aspects of the giving department, ensuring smooth administrative processes. Key objectives include facilitating donation payments, enhancing employee engagement in philanthropy, providing exceptional customer service, managing internal communications, and supervising the Giving Coordinator while supporting the overall team.


Key Responsibilities:

  • Conduct thorough vetting and quality assurance for nonprofit partnerships, donations, and initiatives.
  • Ensure timely submission of documentation to the finance department for prompt payment processing.
  • Compile and present weekly financial reports.
  • Manage the integration of Budget Line Items into Salesforce, including quarterly budget reviews.
  • Collaborate with the finance team to address any outstanding payment inquiries or issues.
  • Review and authorize funding requests exceeding $15,000.
  • Utilize analytical tools to monitor outstanding payments and provide quarterly updates to the team.
  • Design and implement training sessions and resources for the team regarding payment protocols.
  • Identify and recommend process improvements to enhance service delivery to both the team and nonprofit partners.
  • Organize and facilitate company service initiatives during major events and meetings.
  • Coordinate with the team on volunteer opportunities and programs.
  • Source and recommend volunteer opportunities for team members.
  • Create a Service Project Planning Guide and assist the team in executing local service initiatives.
  • Draft and distribute service project Memorandums of Understanding (MOUs) for the team.
  • Oversee the Employee Giving Program, managed through Uncommon Givin.
  • Manage the Love Inbox, ensuring high-quality customer service to external stakeholders and nonprofits.
  • Provide support to internal stakeholders through various communication channels.
  • Maintain and update internal resources to optimize team effectiveness.
  • Develop and refresh content for newsletters and news updates.
  • Coordinate national disaster relief efforts and support localized initiatives.
  • Establish and nurture relationships with disaster relief organizations at all levels.
  • Prepare reports and summaries on the impact of disaster relief activities.
  • Guide and motivate the Giving Coordinator.
  • Foster collaborative relationships across internal and external teams to enhance team success.
  • Identify growth opportunities for the Giving Coordinator.
  • Assist team members with inquiries related to activities.
  • Provide administrative support, including preparing presentations, submitting invoices, and tracking budgets.
  • Attend charity events as needed.
  • Present on the organization’s mission and initiatives when required.
  • Perform additional duties as assigned.

Required Qualifications:

  • Bachelor's degree is mandatory.
  • A strong desire to contribute positively to society.

  • Meticulous attention to detail and exceptional organizational skills.
  • Strong analytical capabilities and effective time management.
  • Ability to prioritize tasks and manage multiple responsibilities under pressure.

  • Experience with data management systems; familiarity with Salesforce is advantageous.
  • Proficiency in Microsoft Office Suite.
  • Experience in the nonprofit sector or related fields is a plus.
