GENERAL PURPOSE OF JOB:

As the Front Desk Administrative Assistant/Client Relations Specialist, you will provide essential administrative and clerical support to our business headquarters. This position plays a vital role in ensuring the smooth operation of our office by supporting a diverse range of staff members.

Moreover, you will represent the company as the initial point of contact for our customers, making it crucial to possess a vibrant, customer-focused personality.

The objective is to deliver outstanding administrative support to our team and ensure that our customer service consistently surpasses the expectations of our discerning clients.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

1. Manage all front desk functions, including welcoming visitors/customers, answering phone calls, sorting mail, scanning and copying documents, and organizing office supplies.

2. Assist customers via phone, in-person, and email with scheduling appointments, placing orders, picking up orders, and providing general information.

3. Acquire knowledge of the glass industry to facilitate effective inside sales.

4. Support internal communications by relaying relevant customer or job-related information to various employees.

JOB RESPONSIBILITIES:

  • Co-manage the front desk and reception area by greeting and assisting all visitors and customers.
  • Provide telephone support for incoming customer service inquiries to uphold our professional standards and ensure timely responses.
  • Assist in managing office inventory, including ordering supplies, documenting their receipt, and distributing them to staff.
  • Facilitate the continuous flow of interoffice communications.
  • Prepare general correspondence, conduct document reviews, and process materials for management.
  • Attend meetings and take notes as required.
  • Gain a comprehensive understanding of the glass and glazing industry, focusing on residential sales and service.
  • Track project deadlines and communicate them to management.
  • Lead special projects as directed by the general manager or operations manager.
  • Perform other administrative tasks as assigned.

JOB REQUIREMENTS:

  • Proficiency in Microsoft Office, Google Workspace, and general computer software is essential.
  • Self-motivated and a team player, capable of providing constructive feedback.
  • Strong organizational and critical thinking skills, with the ability to remain calm and focused in a busy office environment.
  • Excellent written and verbal communication skills, comfortable interacting with all levels of staff.
  • Ability to read, write, and comprehend standard business English; proficient in grammar, punctuation, and spelling.
  • Ability to compile information according to established procedures.
  • Ability to file and retrieve materials following standard filing practices.
  • Exceptional time management and organizational skills, with the ability to prioritize, multitask, and meet deadlines in a fast-paced setting.
  • Operationally focused; proactive in problem-solving and customer-centric.
  • Experience in construction or trades is preferred but not mandatory.
  • Adhere to company policies and procedures, demonstrating our core values and maintaining professional and ethical behavior at all times.

EDUCATION:

  • High school diploma or equivalent; an associate's degree or higher is preferred; equivalent work experience is acceptable.

COMPENSATION:

  • Compensation commensurate with experience, expertise, and qualifications.

TRAVEL & LOCATION: No travel required. This position is based in Boulder, CO, with occasional remote work possible after an initial observation period.
