Job Summary

The Administrative Coordinator will provide critical support to the day-to-day operations of the administration and subcontracting team at Ceres Environmental Services. This role requires a highly organized and detail-oriented individual with excellent communication skills and the ability to work effectively in a fast-paced environment.

Key Responsibilities
  • Provide administrative assistance to the administration and subcontracting team, including contracting, subcontracting, accounting, and travel coordination.
  • Interface with various Ceres managers and subcontractors to ensure seamless communication and collaboration.
  • Maintain accurate records and databases, including filing and tracking of contracting and subcontracting documents.
  • Assist in preparing weekly payment releases for subcontractors and help secure pre-event agreements.
  • Perform various administrative tasks, including data entry, email management, and phone support.
  • Run errands and perform other tasks as needed to support the team.
Requirements
  • High school diploma or equivalent required; one year of experience in an office setting preferred.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong communication and interpersonal skills, with the ability to work effectively with diverse groups.
  • Proficiency in Microsoft Office, including Word, Excel, and Access.
  • Ability to work independently and as part of a team, with a strong commitment to customer service.
Preferred Qualifications
  • Experience in the disaster response, defense, or construction industry.
  • Knowledge of business operations and accounting principles.
  • Bilingual skills in Spanish and English.
  • Ability to travel up to 10%.
