Job Overview

We are seeking an experienced Administration Specialist to perform various administrative functions and drive company success. The successful candidate will be responsible for a range of tasks, including drafting correspondences, planning appointments, greeting guests, answering telephone calls, and maintaining organized filing systems.

Key Responsibilities:

  • Draft high-quality documents and correspondences as required
  • Plan and schedule appointments, events, and meetings with internal and external stakeholders
  • Greet and assist onsite guests in a professional manner
  • Answer inbound telephone calls and respond to queries in a timely and efficient manner
  • Develop and implement effective filing systems to ensure seamless access to important documents
  • Perform other office duties as required, including managing calendars and coordinating travel arrangements
  • Initiate contact with clients to discuss outstanding payments and resolve any related issues

Requirements and Qualifications:

  • Previous experience in office administration or a related field is essential for this role
  • The ideal candidate will possess excellent written and verbal communication skills, with the ability to prioritize tasks and multitask effectively
  • A strong attention to detail and organizational skills are also critical for success in this position
  • Familiarity with Microsoft Office, including Excel, Outlook, and Word, is highly desirable
  • Prior experience in collections or accounting is beneficial, but not necessary
