Position Summary: We are seeking a full-time Conference Services Attendant to ensure that all meeting spaces and communal areas are maintained to the highest standards of professionalism and that all event requirements are fulfilled prior to the commencement of meetings.

Key Responsibilities:

  • Arrange and position tables, chairs, and linens for each event in the conference area.
  • Set up additional items not included in the room setup, such as flipcharts, whiteboards, and screens.
  • Assist in preparing conference rooms to ensure they are equipped with necessary materials, including pens, pads, handouts, and event packages.
  • Refresh rooms between meetings to maintain a professional environment.
  • Provide prompt and detailed service as scheduled by management or upon request.
  • Maintain consistent communication via phone and email with clients, guests, team members, and support departments.
  • Offer assistance to clients and visitors throughout the facility, including providing directions and escorting them to conference rooms.
  • Collaborate with co-workers and service partners to ensure updated information is shared effectively.
  • Provide recommendations to planning managers regarding suitable room setups and work together to find solutions for unique setup challenges.
  • Conduct weekly inspections of meeting rooms and contact the necessary department for any required services.
  • Assist with basic audio-visual equipment as needed.
  • Maintain an inventory of all supplies and notify supervisors when additional supplies are required.
  • Perform other duties as assigned.

Qualifications:

  • Previous experience in customer service or as a houseman/porter is preferred.
  • Ability to lift up to 50 pounds.
  • Familiarity with Microsoft Office products.
  • Strong written and verbal communication skills.
  • Excellent organizational and time management abilities.
