We are seeking a highly enthusiastic Administrative Coordinator for the Engineering, Pipeline Compliance, and Control Department. The ideal candidate will have good experience in handling routine or day-to-day task such as scheduling meetings, managing files, processing Purchase Orders, and ordering supplies. You will be responsible for processing EWRs in SAP, prepare related reports, and provide administrative support for the cathodic protection database, including data entry, reporting, and tracking.

Key Responsibilities:

  • General administrative responsibilities will include but are not limited to the following:
  • Assist field personnel with inquiries.
  • Maintaining vacation and other time off records for department employees.
  • Distributing departmental mail, reports, faxes, and packages.
  • Ordering office supplies.
  • Maintaining and updating filing systems
  • Coordinating departmental activities and meetings.
Provide comprehensive administrative and operational support to the Engineering, Pipeline Compliance, and Control Department. Create purchase requisitions/orders and process the receipt of materials/services through SAP. Develop presentations and prepare reports on spreadsheet applications from various databases using Microsoft Tools: Word, Excel, PowerPoint, and Access. Manage SharePoint user permissions and perform administrative functions.

Must-Have:

  • Minimum 4-6 years of experience in working as an Administrative Assistant or Administrative Coordinator
  • Proficient in utilizing Microsoft Office Suite (Word, Excel, PowerPoint, and Access), SAP, and SharePoint.
  • Exposure in coordinating and supporting departmental coordination s, handling inquiries, managing time off records, coordinating meetings, distributing documents, and ordering supplies.

Nice to Have:

  • High School Diploma is mandatory, degree would be preferred but not required.
  • Processing EWRs, Purchase Orders, and Work Orders in SAP as well as preparing related reports.

At this time, we are unable to provide visa sponsorship. We are seeking candidates who are authorized and eligible to work in the U.S. without the need for current or future sponsorship.
