Description:

JOB SUMMARY

This position supports the organization in the areas of salary and benefits administration with additional responsibility for producing HRIS analytics and optimizing system and procedural capabilities. As a member of the Talent Management team, this position will also partner with leaders and employees on performance and development needs and employee relations issues.


ESSENTIAL JOB FUNCTIONS

  • Administers health and welfare plans, including enrollments, changes and terminations; processes required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions
  • Reviews and approves billing statements and enrollment reports, notifies carriers of changes, and ensures timely approval of invoices for payment by Finance & Accounting
  • Maintains a thorough understanding of health plan benefits and coverage offerings, deductibles, employer contributions, and employee premiums; monitors benefit plan administration in accordance with federal and state regulations and plan documents
  • Establishes new benefit plans in the HRIS each renewal year and coordinates annual benefit enrollment meetings in consultation with insurance broker and third party vendors
  • Supports administration of retirement plans including interaction with plan advisors and recordkeepers, and compliance of plan documents, participant notices, audits and annual filings
  • Ensures changes for new hires, terminations, status changes, benefit deductions, and certain bonuses are entered timely and correctly into HRIS
  • Processes and tracks FMLA, leaves of absence, and short-term disability; corresponds with employees' providers when necessary and appropriate; maintains employee attendance records throughout leave periods; communicates employees' return to work procedures
  • Administers workers compensation program; maintains records of all employee work-related accidents; files First Report of Injury (FROI) forms with worker's compensation carrier and follows-up with injured employees; facilitates prompt return to work status
  • Maintains OSHA employee injury log; completes and files federal reports annually as assigned
  • Maintains the performance review module in the HRIS to ensure evaluators complete 90-day and annual performance reviews and Stay Interviews in a timely manner
  • Fulfills requests for HRIS reports; teaches users to design reports and obtain data independently.
  • Maintains HRIS user access according to approved roles and levels of authority[RB1]
  • Responds to day to day employee concerns, working closely with the Chief Talent Officer to ensure that inquiries related to organizational procedures and policies are addressed timely
  • Provides customer service and coaching to managers and employees by seeking and responding to issues with employee relations, individual and team performance, and feedback about interpersonal relations. Demonstrates acumen in listening to understand and recommending approaches and solutions that support employee development, respect and inclusion, as well as risk mitigation.
  • Administers employee accounts and training records in Relias, supporting compliance with organizational and regulatory requirements
  • Evaluates work processes and methods and recommends changes for continuous improvement
  • Assists with employee functions including orientation, recognition, and celebrations, as needed
  • Assists with policy and procedural updates to include the Employee Handbook, job descriptions, policies, forms, and surveys.
  • Cross trains and serves as a backup for other Talent Management team member responsibilities.
  • Upholds Williamsburg Landing's Corporate Compliance Plan, reporting actual and potential compliance issues to the Compliance Officers and demonstrating ethical conduct to fellow employees and residents
  • Performs other duties as assigned


QUALIFICATIONS

Associate or Bachelor's degree, preferred; Minimum of three (3) years of relevant HR work experience is required; intermediate experience in benefits administration, and human resource software and reporting functions (HRIS) is required


KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of general office clerical procedures; demonstrated ability to effectively communicate both verbally and in writing using proper grammar and spelling; strong computer skills with expertise in Microsoft Word, Excel, and PowerPoint; demonstrated interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy; excellent organizational and administrative skills; ability to regularly exercise sound judgment; ability to maintain professional working relationships with staff, community, and regulatory officials; ability to maintain high performance and composure under pressure, opposition, or criticism
