Job Summary

We are seeking a highly skilled HVAC Service Coordinator to join our team. The successful candidate will provide mainstream support to our Operations by scheduling service calls and assigning work teams. This role involves specialized support, technical, and administrative work, requiring a high degree of independent judgment and action.

Key Responsibilities
  • Coordinate and schedule all service work, ensuring efficient use of resources and timely completion of tasks.
  • Professionally interact with customers, prioritizing scheduling and ensuring prompt communication.
  • Assign and manage technicians, maintaining on-call schedule assignments and ensuring all calls are promptly set up and dispatched.
  • Review and update call-summaries, adding inventory and ensuring accurate records.
  • Purchase and schedule equipment and parts as needed, ensuring seamless operations.
  • Invoice completed calls, working closely with the Service Manager to resolve any service or billing issues.
  • Review, approve, and post technician hours, submitting to payroll and ensuring accurate compensation.
  • Prepare quotes for small repairs, providing excellent customer service and ensuring timely completion.
  • Answer incoming phone calls, providing exceptional customer service and support.
Requirements
  • Exceptional written and verbal communication skills, with the ability to work well both independently and as part of a team.
  • Detail-oriented with excellent organizational skills, proficient in Microsoft Office (Word, Excel).
  • Experience with ERP accounting software, including Great Plains/WennSoft software platform, is a plus.
