Their dynamic team will provide white glove service levels across the respective divisions’ customer base and aid in general office support duties where needed. Salary/Hourly Rate: $95k - $115k Position Overview: The Director of Administration will be responsible for assisting the (3) unique administrative teams in their respective responsibilities, including but not limited to, compliance, brokerage processing, vendor management, and internal staff support. The ideal Director of Administration is reliable, punctual, and committed to light travel when necessary.  The Director of Administration will be the leader of the administration divisions and functions. Responsibilities of the Director of Administration:
  • Lead a highly diverse team of high-functioning administrative and compliance support professionals to execute day-to-day operational tasks across 3 divisions.
  • Organize and coordinate office administration and procedures, to ensure organizational effectiveness, efficiency, and safety.
  • Oversee and manage office improvements, inventories, mail distribution, vendor relationships, and brokerage procedures and ensure controls are in place to maintain a class-A office environment all within budget.
  • Develop intra-office communication protocols, streamlining administrative procedures, operational control, office staff supervision, and task delegation.
  • Partner with the HR department to ensure administrative staff adheres to all department policies and procedures.
  • Plan and coordinate large-scale company initiatives, as well as small-scale team building and employee engagement and wellness activities.
  • Oversee the annual administration staffing plan anticipating business needs and partnering with the recruiting team, as required.
  • Partner with the Executive leaders to efficiently manage expansion activities.
  • Oversee the onboarding process and experience for all new office support staff.
  • Coordinate staff workflow, assign support teams, coach, and develop staff for optimal performance.
  • Maintain the confidentiality of sensitive work products and information.
  • Collaborate with clients to identify opportunities to enhance and streamline processes, standardize practices, and provide back-up support when necessary.
  • Lead the support team, identifying opportunities for growth and development with a focus on continuous coaching.
  • Partner with Corporate Real Estate, Legal Entities, and subsidiaries on administrative office support.
Qualifications for the Director of Administration:
  • Minimum 7+ years of prior experience in a multiple-department or location setting.
  • Proficiency with the full MS Office Suite and other communications tools (MS Teams, Google Docs, Slack, WebEx, etc.).
  • Experienced within the Investment or Financial Services industry is highly preferred.
Education Requirements:
  • Bachelor’s degree is required, preferably in Business Administration or an equivalent major.
