Duties:
  • Minimum of 3+ years of Executive Assistant or Senior Administrative Assistant experience in a corporate financial setting.
  • Must be highly motivated and willing to go above and beyond to fulfill duties of role with minimal training needed
  • Able to work in a fast-paced environment- assertive personality with a proactive mindset
  • Strong experience booking domestic and international travel/ managing expenses
  • Able to work with Managers/Leaders to assist in prioritizing schedules and ensure the leader is available for the travel
  • Ability to work in an environment where change in schedules and priorities exist
  • Highly detailed and ability to follow up

Skills:
  • Booking travel
  • Handling expense reports
  • Managing multiple calendars
  • Event planning (for example dinners for 20+ guests)
  • Performing a range of administrative support activities for a major organizational functional area.
  • Prepare, transcribing, composing, typing and editing correspondence, agendas and minutes and other documents.
  • Scheduling and coordinating meetings, events, interviews and appointments.
  • Preparing reports.
  • Gathering and analyzing basic information.
  • Sorting, screening and distributing mail.
  • Operating standard office equipment and using required software applications.
  • Make administrative and procedural decisions and judgments.
  • Analyze and solve problems.
  • Maintain currency in modern office management methods and techniques.
  • Attend to detail while maintaining a big picture orientation.
  • Organize, manage and track multiple detailed tasks and assignments with frequently changing priorities in a fast-paced work environment.

Education:
  • Bachelor's Degree and a minimum of 3+ years of experience as an Executive Assistant or Senior Administrative Assistant

Additional details
  • Temporary role to assist the Boston Investment Banking team while associate is on leave until end of January 2025
  • Local candidates only- will work on-site in downtown Boston. Most employees take the train to commute to the office. Daily parking is available but is not recommended due to cost.
