Job Summary:

Provides assistance to mailroom staff and customers. Maintains mailroom by keeping the environment clean, organized, and stocked.

Duties/Responsibilities:

  • Assists with incoming and outgoing mail service.
  • Sorts, logs, and distributes mail and packages; processes out-bound mail; assists customers with mail services and completing proper documents for all mail services; explains services and suggests appropriate service to meet customer’s requirements; assists with mail/package deliveries across campus as needed; rings postage sales into the register and makes correct change; resupplies components on the mail meter and related equipment as necessary; forwards and returns mail to sender as appropriate.
  • Maintains a clean and organized working environment.
  • Dusts and cleans surfaces, floors, and machinery throughout mailroom and self-service area; shelves, restocks, and organizes supplies and retail items; reports necessary work orders or safety hazards to supervisor(s).
  • Assists with counter sales. Accurately rings up retail sales on cash register, credit card machine, and/or other equipment; gives exact change; runs register reports; counts money in drawer and fills out a deposit slip; takes deposit to the business office; gets change for the register drawer as needed.
  • Assists with completion of weekly mailroom supply inventory; assists with annual audit inventory; assists customers with supplies for mailroom, copiers, and self-service area.
  • Using computer or other designated equipment, enters and assists with processing of orders.

  • Ability to sort incoming and outgoing mail as directed.
  • Ability to effectively communicate to assist employees and students.
  • Ability to deal with stressful situations and different types of personalities in a calm manner.
  • Ability to concentrate while doing many tasks at once.
  • Ability to learn department account numbers and locations of mailboxes.
  • Ability to use the telephone to assist customers and report malfunctions.
  • Ability to learn basic operations of digital copiers, cash register, folding equipment, binding equipment, laminating equipment, mailing equipment and software, phone systems, Windows-based Computers, and other software programs as necessary.
  • Ability to clear jams from copy machines, fill with paper and staples, and load toner.
  • Ability to explain the services provided by the mailroom.
  • Ability to complete assigned jobs.
  • Ability to perform routine tasks.
  • Ability to take direction from supervisors.
  • Ability to lift and carry mail tubs, mail flats, and packages.
Education and Experience:
  • Must be a regular, full-time student, enrolled in at least 12 hours per semester
  • Must have a completed FAFSA on file with Financial Aid for the current academic year

The noise level in the work environment is usually loud including frequent interruptions. Repetitious hand motions are involved. The work area is confined and may become congested at times.
