Summary:

Under the direct supervision of the Principal Investigator and Leadership the Administrative Coordinator will provide high-level administrative support to assigned research and programmatic activities associated with various clinical and public health projects. Projects will include those related to HIV prevention HIV education pre-exposure prophylaxis (PrEP) sexually transmitted infections (STIs) and substance use. This position will interact directly with the general public MDs PhDs collaborators community partners vendors and the Rhode Island Department of Health.

The Administrative Coordinator will support educational and training activities in concordance with statewide efforts to improve public health and namely to reduce HIV and STI incidence including prevention detection and retention in care.

The Administrative Coordinator will plan develop monitor and coordinate the academic research administrative activities. This includes working with senior departmental leadership collaborators community partners vendors and the Rhode Island Department of Health in the planning of conferences meetings and events. This position also assists in the development and dissemination of educational materials.

Responsibilities:

The duties may include but not be limited to:

Facilitating educational and training activities which includes arranging continuing education credits event planning reporting and other related administrative responsibilities.

Event support and logistical planning for events. Primary duties include the advanced planning to ensure smooth events day-to-day management and support of events.

Assisting with data entry and ensuring quality of information collected for program and training activities including management of protected health information (PHI) in accordance with hospital policy and state and federal law;

Working independently as well as in collaboration with a diverse research and clinical team completing various administrative and grants-related tasks with keen attention to detail and navigating within a large interdisciplinary hospital-based system;

Other administrative activities related to grants and programs as determined by the PI and Leadership. 

Other information:

BASIC KNOWLEDGE:

Bachelor of Science degree in business administration public administration or public health preferred.

Basic computer knowledge and ability to navigate PC software i.e. proficiency in typing/word processing utilizing spreadsheets for data management and data entry required; familiarity with building and managing REDCap databases preferred.

Excellent ability to gather and synthesize complex information strong writing skills and demonstrated attention to detail required. Timeliness and responsiveness highly desired. Ability to be flexible and re-prioritize tasks as needed.

Strong personal initiative as a self-starter required including demonstrated ability to work independently motivation to learn and comfort interfacing with clinic patients and community members.

EXPERIENCE:

A minimum of 3-years academic/program experience preferably in public health educational or related fields.

Excellent verbal and written skills. The ability to interact with persons from diverse backgrounds such as MDs PhDs research and administrative staff.

Fluency in written and spoken Spanish and/or Portuguese highly desired.

Experience in academic writing preferred.

Meaningful experience participating in and serving communities of color LGBTQ+ and transgender communities and other structurally oppressed populations; strong interpersonal skills with diverse populations.

WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:

Able to function in an office Environnement. Requires walking navigation of stairs and standing intermittently throughout the day. Sufficient visual acuity and manual dexterity to use computer and other common equipment.

INDEPENDENT ACTION:

Performs independently within the Departments policies and practices. Meets regularly with supervisor for guidance and support.
