Qualifications:
- High school diploma required; four-year college degree preferred.
- Over 10 years of administrative support experience in large organizations, with proven progression to executive levels (C-Level, Sr. VP, Managing Director, Director, General Managers).
- Proficient in Microsoft Office (Outlook, PowerPoint, Word, Excel, SharePoint).
- Strong oral and written communication skills, including active listening.
- Expertise in travel management and event planning.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Detail-oriented with a creative problem-solving mindset.
- Outgoing, professional demeanor with adaptability and accountability.
- Manage schedules, correspondence, emails, and phone calls for department leadership.
- Handle complex calendar management across multiple time zones, coordinating with C-level executives.
- Maintain office efficiency, including copier/printer maintenance and supply inventory.
- Coordinate pre-boarding and on-boarding for new staff members.
- Manage conference room schedules and office supplies.
- Assist with facilities and equipment issues.
- Provide backup support to other Administrative Assistants as needed.
- Organize meetings and special events, including meal arrangements.
- Handle travel arrangements and expense reports.
- Assist with mail distribution and shipment of products.
- Proactively identify and address work needs.
- Highly Organized: Able to manage multiple tasks efficiently.
- Detail-Oriented: Passion for accuracy and thoroughness.
- Dependable: Reliable and consistent in delivering quality work.
- Collaboration: Strong team player who works well with other Admins.
- Proactive: Anticipates needs and takes initiative.
- Onsite Commitment: Available to work onsite 4 days a week.
