Qualifications:

  • High school diploma required; four-year college degree preferred.
  • Over 10 years of administrative support experience in large organizations, with proven progression to executive levels (C-Level, Sr. VP, Managing Director, Director, General Managers).
  • Proficient in Microsoft Office (Outlook, PowerPoint, Word, Excel, SharePoint).
  • Strong oral and written communication skills, including active listening.
  • Expertise in travel management and event planning.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Detail-oriented with a creative problem-solving mindset.
  • Outgoing, professional demeanor with adaptability and accountability.
Responsibilities:
  • Manage schedules, correspondence, emails, and phone calls for department leadership.
  • Handle complex calendar management across multiple time zones, coordinating with C-level executives.
  • Maintain office efficiency, including copier/printer maintenance and supply inventory.
  • Coordinate pre-boarding and on-boarding for new staff members.
  • Manage conference room schedules and office supplies.
  • Assist with facilities and equipment issues.
  • Provide backup support to other Administrative Assistants as needed.
  • Organize meetings and special events, including meal arrangements.
  • Handle travel arrangements and expense reports.
  • Assist with mail distribution and shipment of products.
  • Proactively identify and address work needs.
  • Highly Organized: Able to manage multiple tasks efficiently.
  • Detail-Oriented: Passion for accuracy and thoroughness.
  • Dependable: Reliable and consistent in delivering quality work.
  • Collaboration: Strong team player who works well with other Admins.

  • Onsite Commitment: Available to work onsite 4 days a week.
