TouchTunes is seeking a Human Resources Coordinator to support the full cycle experience of all US based employees, covering Schaumburg, IL, Loves Park, IL, New York, NY and remote field-based employees. The HR Coordinator will play a crucial role in supporting the HR department and ensuring the smooth operation of HR processes and employee experiences. This position requires a detail-oriented and proactive individual with strong problem-solving skills, excellent interpersonal and communication abilities, and a high level of confidentiality and work ethic. The HR Coordinator will assist with various HR functions, including recruitment, onboarding, employee relations, and compliance.

As part of our dynamic HR Team, you will contribute and deliver on many of our employee programs that ensure a diverse and inclusive culture, aligned with our company values.

Key Responsibilities:

Recruitment and Onboarding
  • Assist in the recruitment process, including posting job openings, reviewing resumes, candidate sourcing and coordinating interviews.
  • Coordinate pre-hire process to ensure a seamless experience, including preparing offer letters, pre-hire paperwork, background verifications, IT and workspace preparation.
  • Support the onboarding process for new hires, including preparing orientation materials and conducting orientation sessions (virtual and in-person session).
Employee Support
  • Provide support to employees with HR-related questions and issues and guide to appropriate resources as necessary.
  • Providing reminders and updates to employees regarding important HR dates, processes and activities.
  • Manage HR Mailbox and reply to employee questions/issues or direct to HR team as needed.
  • Support in understanding and managing general employee concerns or requests.
HR and Office Administration:
  • Maintain and update core HR Systems, ensuring accurate employee data points and HR databases.
  • Prepare and process HR documentation and employee compliance paperwork, such as offer letters, I-9's, termination paperwork, NDA, Code of Conduct agreements, compliance acknowledgements, etc.
  • Audit, organize and maintain personnel files to ensure files are compliant.
  • Maintain updated employee information in all systems and update company org charts.
  • Uphold and ensure compliance with company policies and procedures, as well as federal, state and local employment laws.
  • Generate, review and distribute standard and ad-hoc reports from various HR systems, including Dayforce, Leapsome, and training platforms.
  • Administer and manage inbound/outbound mail, including priority shipments, and other physical correspondence.
  • Preparation and support for executive meetings, trainings, and other onsite meetings, including room set up and other accommodations.
Benefits Administration:
  • Assist with the administration of various employee benefits programs, including initial enrollment/term processes, changes, and inquiries.
  • Own the monthly invoice review and payment process for various benefit carriers.
  • Coordinate annual open enrollment process and benefit education events.
Talent Management & Culture:
  • Assist in organizing and coordinating employee culture and engagement activities and events (virtual and on-site).
  • Assist with global HR employee engagement initiatives through active participation in culture and DEI committees.
  • Support performance review process by tracking deadlines, preparing materials, and assisting with communication to employees and managers.
  • Assist in the coordination of training and development programs for employees, including scheduling, logistics and maintaining training records.
  • May support specific global projects, including design, development and implementation work.
Qualifications:
  • Bachelor's degree in HR or business discipline required.
  • Master's degree in Human Resources helpful.
  • 1-2+ years of experience at the coordinator level.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Excellent problem-solving skills and ability to work independently.
  • Strong interpersonal and communication skills, both written and verbal.
  • Enjoys organizing and following through on loose ends.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and HRIS systems.
  • High level of technical proficiency.
  • High level of confidentiality and reliability with a strong work ethic.
  • Experience with HRIS systems, similar to Ceridian Dayforce, LinkedIn Learning, or Leapsome. (preferred)
  • Ability to learn and navigate various software and systems such as DocuSign, digital filing systems, benefit portals and websites, training platforms, recruitment sites, LinkedIn recruiting module and learning platform, etc. (preferred)

Work Requirements:
  • Ability to work a hybrid work schedule (minimum 50% onsite) and be on-site more often as required by business needs.
