Description
Description and Purpose
The Human Resources Assistant will assist in the HR Department's daily operations to ensure timely handling of employee matters.
Major Duties and Responsibilities:
Human Resources Department
- Abide by the Company's confidentiality agreement at all times.
- Document all duties and maintain the HR job manual.
- At the end of every quarter, run report in Paycom on part-time hours worked for 3 month average.
- Update medical cost spreadsheets weekly with the ERMED and HRA statistics.
- Post monthly benefit payments to the medical cost spreadsheet.
- Update medical cost to all department each month.
- Assist with benefit implementation during open enrollment.
- Assist with training meals at the Corporate Office.
- Attend additional training as requested by management.
- Maintain DOT driver's file according to DOT requirements.
- Maintain DOT spreadsheet with up-to-date information.
- Notify CDL drivers when medical card is due to expire and make appointment for them.
- Send DOT forms to CDL drivers for Query and Motor Vehicle Records substantiation every year.
- Notify drivers when their CDL license is due to expire and obtain a copy of their new one.
- Post new information received to the DOT spreadsheet and to Paycom.
- Notify CDL holders when picked for random drug and alcohol testing.
- Work with Director of Parts on DOT regulations for the Company transfer trucks and parts van.
- Send DOT forms to drivers for Motor Vehicle Records substantiation every year.
- Record substantiation dates in DOT spreadsheet.
- File all paperwork for CDL and Non DOT drivers.
- Record new employees in DocTract and put terminated/quit employees as inactive.
- Assist in revising job descriptions for every department to the new format.
- Create and/or revise forms as needed.
- Train all users in the DocTract process.
- Prepare job manuals for each job description.
- Assist Marketing Manager in preparing marketing folders for Midwest Diesel Tech Academy.
- Assist in mailing flyers to schools.
- Prepare green folder for new students and scan all signed documents into a folder on the computer.
- Place all copies of signed documents in the gray folder for the student.
- Prepare and send performance reviews for students and interns every 90 days during their 6000 hours for the Apprenticeship.
- Record additional training requested by student from performance reviews and send to instructors.
- Scan all performance reviews into their folder on the computer.
- Record hours worked for interns and students from their time cards each week.
- Prepare end of the month reports on loan balance for tuition and tools and total hours worked per student and send to manager and student.
- Keep track of students that reach 2000 hours for rate increase per Apprenticeship rules.
- Make hotel/Air B&B reservations for Midwest Diesel Tech Academy students for the school year.
- Complete V.A. forms for students and send to managers for signatures at the end of every month.
- Run safety reports weekly for trainings not completed and send reminders to managers.
- Maintain spreadsheet on forklift trainings for 3 year renewal process.
- Work with IBC on mock OSHA investigations and perform in each store on a quarterly basis.
- Work with IBC on guidelines for chemical inventory and perform once a year.
- Conduct training needed for current accidents to prevent them from occurring again.

Education
Associates degree preferred.
Intermediate to advance computer skills with fundamental computer operations, spreadsheets, word processing, database, and email.
Have knowledge of administrative and clerical procedures and systems, such as managing files, word processing, and other office procedures.
Proficient in creating manuals with table of contents and page numbers.
Language Skills
The ability to write policies, procedures create forms, and procedure manuals.
Listen to and understand information and ideas presented through spoken words and sentences
Communicate information and ideas in writing and/or verbally so others will understand
Mathematical Skills
The ability of performing basic math and creating formulas for spreadsheets.
Reasoning Ability
The ability to give full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
Abilities
The ability to read and understand information and ideas presented in writing.
Be able to communicate information and ideas in writing so others will understand.
The ability to listen to and understand information and ideas presented through spoken words and sentences.
Certificates, Licenses, Registrations
Must have a valid driver's license and meet insurability requirements with the Company's insurance company.
Travel
Must be able to travel, and at times an overnight stay may be required.
