The Resident Services team provides transformative, affordable, and supportive housing and elevates the voices of the communities we serve that are disproportionately affected by systemic inequities. PPL provides 1,600 housing units and serves nearly 13,000 people annually in the Twin Cities, aiding in long-term stable housing so that our community can live their best lives. PPL integrates race equity organization-wide through multiple strategies and systems change initiatives.

Job Summary:

The Community Support Specialist will operate as a Front Desk Receptionist and serve an impactful role in partnership with families in PPL Supportive Housing. The role is responsible for helping to facilitate a welcoming and safe environment for all Emerson Village residents, guests, and partners. The Front desk Receptionist greets residents and guests, builds community with residents, and reports potential safety concerns.

An ideal candidate will have experience proven experience in demonstrating a strong work ethic and responsiveness while providing high levels of customer service. This candidate must also respond quickly and effectively to internal and external clients and stakeholders with attention to detail.

Essential Duties and Responsibilities:

  • Greet residents and visitors to the building, build relationships with residents, and facilitate community-building opportunities.
  • Conduct building walk-throughs several times daily, log safety concerns, and share the logs with the staff team, property management team, and other safety partners.
  • Respond respectfully and timely to inquiries from residents, visitors, guests, staff members, clients, or volunteers and make appropriate referrals.
  • De-escalate tense situations by using communication, empathy, and problem-solving techniques.
  • Provide administrative support that includes but is not limited to data entry, meeting set-up, copy projects, mailings, and solving office equipment problems.
  • Order and maintain inventory of office supplies or other materials.
  • Maintain sufficient program-specific information in the lobby, such as brochures, handouts, and other items used to disseminate program information.
  • Provide general upkeep to the lobby area and all common areas of Emerson Village.
  • Understand and comply with strict confidentiality guidelines when working with confidential records of the organization's information and program-specific information.
  • Other administrative support tasks as assigned.
  • Keep accurate, up-to-date documentation, including but not limited to incident reports, safety logs, etc.
  • Participate in internal and external professional development, team meetings, case consultation, special initiatives, PPL committees, and organization-wide meetings.

Supervisory Responsibilities:

Will not be responsible for supervision

Minimum Requirements:

Ability to use:

  • Office equipment including telephone, smartphone, voicemail systems, copier, printer, scanner, and fax machine.

  • MS Word, Outlook, and Excel

  • The Internet and electronic timecard system

  • Computer Network (files, drives, and folders)

  • Apricot or other database systems

Additional Requirements:

  • Excellent de-escalation skills, including calming down a tense situation using communication, empathy, and problem-solving techniques.
  • Able to operate a multi-line phone system effectively.
  • Excellent organizational skills, ability to prioritize and handle multiple tasks and follow projects through to completion in a timely manner.
  • Candidates will have experience in and a strong desire to serve people from diverse cultures and economic and social situations.
  • Ability to take initiative and work independently and as part of a team.
  • Ability to speak Somali preferred.

Hours: Standard business hours -40 hours per week

Education and/or Experience

  • H. S. diploma or GED equivalent, with at least one year experience in Office Administration or Front Desk Reception.

PPL currently offers a signing bonus for this position: $1,000 for full-time and $500 for part-time.

(The signing bonus is payable in two payouts, half after one month and the other half after six months. This is subject to all applicable tax reporting and withholding requirements. )

Salary: $19.00-$21.00 Yr., DOQ
